We're thrilled to welcome those who want to learn more about us and to be part of what we do.POSITION SUMMARY:The Executive Assistant provides executive and administrative support to the Dean, Assistant Dean and Vice-Dean Faculty within the Office of the Vice-Principal, Academic & Dean at the University of Toronto Mississauga (UTM).Working independently under the general direction of the Assistant Dean and reporting directly to the Director, Financial Operations and Administration, the Executive Assistant provides professional administrative support on a broad range of high-level, confidential administrative and operational matters. The incumbent develops and maintains a thorough understanding of Senior Leadership priorities, activities, and commitments, including engagement with senior University, government, and external stakeholders, as well as a strong knowledge of University and campus policies and procedures to ensure the efficient operation of the Office.The Executive Assistant is responsible for delivering a high level of executive support across academic, administrative, faculty, advancement, and operational matters. This includes managing complex calendars; coordinating meetings and high-level engagements; identifying and prioritizing urgent or sensitive issues; preparing executive briefings and background materials; independently drafting complex and confidential correspondence; and ensuring Senior Leadership are informed of key decisions, operational issues, and emerging matters. The role requires sound judgment in resolving inquiries independently and redirecting issues as appropriate.The incumbent supports a wide range of faculty and academic activities, including academic staffing and human resources processes, policy compliance matters, faculty relations and grievance-related documentation, curriculum and program development cycles, teaching and learning initiatives, experiential learning, student recruitment and retention initiatives, competitive funding and awards programs, and other strategic academic priorities. The role may also include financial and budgetary administrative support, including monitoring and managing office operating budgets.Operating in a complex and high-volume environment, the Executive Assistant implements and maintains effective office procedures; anticipates administrative requirements; coordinates programming and special initiatives; and supports adherence to institutional timelines and approval pathways. The position requires a high degree of discretion, independent judgment, responsiveness, and absolute confidentiality, particularly with respect to sensitive human resources, labour relations, and academic matters across UTM.The Executive Assistant to the Dean, Assistant Dean and Vice-Dean Faculty may be required to perform executive and administrative support to the other Vice-Deans (4) and Associate Deans (2) as needed.QUALIFICATION:
EDUCATION:University degree or an equivalent combination of education and experience.EXPERIENCE:Minimum of five years' experience supporting senior executive(s) with responsibility for office management, communications, events management, and financial administration, preferably within a university setting. Demonstrated experience drafting correspondence, preparing briefing materials, applying and interpreting policies and procedures, and organizing and coordinating special events is required.Proven experience liaising with senior academic administrators and handling complex, confidential, and sensitive matters with discretion is essential.SKILLS:Proficiency in Microsoft Word, Excel, PowerPoint, electronic scheduling software, email, and file management platforms such as SharePoint. Familiarity with web posting and internet research is required.Demonstrated meticulous attention to detail and accuracy, strong organizational and planning skills, and excellent written and oral communication skills, including the ability to independently draft and edit complex documents. Proven ability to track, manage, analyze, and compile information and data.OTHER:Demonstrated ability to respond in a highly professional, timely, and diplomatic manner when managing contacts and communications on behalf of the Vice-Deans, Associate Deans, Dean, and Assistant Dean. Ability to exercise sound judgment, tact, and discretion in analyzing information and preparing documents within established parameters.Strong interpersonal and relationship-building skills, with the ability to interact effectively and positively with all levels of University administration.Ability to manage multiple competing priorities and deadlines, and to work independently as well as collaboratively within a team environment.
