Many of our teams work in a hybrid rotation, meaning that some days in the office are busy, others are quiet.The person currently holding this position has been promoted to another role at RamSoft, and will be available as a resource to help get you up and running.This is an excellent entry-level role for a tech-savvy candidate with a knack for managing varied tasks and an interest in developing their skills. The Administrative Coordinator reports to our People Operations team, and interacts with all of our departments, which brings the opportunity to get involved with projects outside the standard day-to-day responsibilities.Accessibility note: We are currently located in an historic building, which has 4 steps at the door. Once inside, there is elevator access, and our office is all on one level.What will you do?
- Manage day-to-day administrative office activities
- Communicate with internal and external parties; make and receive telephone calls, forward messages, prepare internal announcements, receive deliveries, distribute office mail, greet visitors, monitor general email inboxes
- Maintain general presentation and organization of office; proactively coordinate service requests when required
- Monitor and order office supplies, catering, etc.
- Act as main point-of-contact for vendors and prepare required documentation (e.g. registration and renewals with our insurance and other service providers)
- Act as administrator for our employee credit card and expense reimbursement platform. (Experience with Float or similar software is an asset)
- Collaborate with internal teams including Finance, IT, and Legal & Compliance on company-wide processes and policies
- Coordinate internal and external meetings, including organizing agendas, taking minutes, etc. as required
- Prepare presentations and reports
- Participate in workplace health and safety initiatives
- Participate in team and strategy meetings as required
- Coordinate internal company events
- Coordinate travel arrangements
- Provide occasional administrative support to executives and other departments as required
- Perform other related duties as required.
- Previous Administrative Coordinator, Office Assistant, or other relevant experience
- High level of communication skills in English, written and verbal
- Aptitude in decision-making and problem-solving
- Exceptional organizational and time management skills
- Excellent customer service and interpersonal skills
- Proven ability to work well under minimal supervision
- Digital literacy, highly proficient/experienced in Office 365 (Outlook, Teams, Excel, Word, PowerPoint)
- Ability to balance multiple projects and priorities
- Demonstrated experience working with confidential information
- First AID/CPR Certification
- JHSC Certification
- Experience with event planning
- Experience using financial software, CRM software, and/or HRIS software
- Ability to occasionally lift up to ~20kgs for brief periods (in order to receive deliveries, change water cooler)
