The position also provides reception coverage.Administrative Support responsibilities will include providing support for programs in the Chiu School of Business programs as well as to the Associate Dean and this person’s direct reports. The Administrative Assistant carries out general administrative duties as assigned, including scheduling appointments, facilitating and maintaining files and forms, preparing reports, and assisting with onboarding of new instructors – ensure each is provided with necessary materials, including schedule, textbook, D2L account, BVC account, etc.Additional responsibilities involve accurately entering information into Infosilem scheduling system and make necessary requests/changes as required, requesting room bookings/changes; orders food for various functions, taking meeting minutes, and assisting with workshops or similar activities, scheduling students and classrooms, confirming students’ eligibility to attend, ensuring that computer equipment is operational, and so on.The Administrative Assistant Assists with special events/guest speakers; room booking/refreshments; signage; thank-you gifts; and communications with students regarding upcoming events, while keeping the Associate Deans informed of enrolment numbers and course fill reports.Reception Support to the Chiu School of Business accountabilities will include providing reception to all areas of the department, greeting and assisting students, staff, faculty and external visitors in a pleasant and welcoming manner, and providing efficient and friendly response and direction to incoming phone calls.Qualifications
  • Certificate in Office or Business Administration or related.
  • 1-2 years administrative experience in an office setting.
  • Proven experience as an administrative assistant, office assistant, or in a related role.
  • Strong interpersonal communication skills.
  • Excellent Microsoft Office skills and familiarity with D2L and Unit 4 is an asset.
  • Demonstrated initiative when responding to basic inquiries; determine who/when to forward to for further responses.
  • Excellent customer service skills in person and on the telephone.
  • Experience with and knowledge of the Chiu School of Business operations and programs preferred
  • An equivalent combination of education and experience may be considered.
