- Communicate effectively and professionally with clients, colleagues, and external parties, including drafting letters, emails, and making phone calls.
- Schedule client meetings and phone calls, while managing and maintaining multiple lawyer calendars.
- Manage a high volume of emails, including reviewing, handling, and e-filing correspondence.
- Organize and maintain both paper filing systems (including trial binders) and an online document management program.
- Maintain detailed to-do/task lists and file status lists for yourself and multiple lawyers, ensuring timely reminders.
- Organize and compile documents for client meetings, presentations, and other events.
- Draft and process expense reports.
- Diarize deadlines in Outlook and ensure reminders are provided to relevant team members.
- Adapt quickly, switch between tasks efficiently, and maintain professionalism under pressure.
- Take initiative to anticipate the needs of the team and clients, offering proactive solutions
- Proven experience as an Administrative Assistant, or similar administrative role.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication abilities.
- Proficiency in Microsoft Outlook, Word, Excel, and document management systems.
- Ability to handle confidential information with discretion.
- Exceptional multitasking skills and the ability to work independently.
- Prior legal or professional services experience considered an asset
