- Provide comprehensive administrative support to the office
- Manage incoming and outgoing communications
- Coordinate incoming and outgoing mail, including courier and FedEx shipments
- Perform data entry related to invoicing and financial documentation
- Upload invoices to various client portals and ensure accurate record-keeping
- Communicate with pilots and vendors to obtain invoices and verify accuracy
- Enter and maintain financial data within QuickBooks Online
- Create, update, and maintain spreadsheets using MS Excel
- Maintain organized process documentation and office systems
- Minimum 1 year of experience in an administrative role is required
- Experience within the aviation industry is considered an asset, but not required
- Experience with invoicing, bookkeeping support, or QuickBooks Online is preferred
- Strong written and verbal communication skills
- Exceptional attention to detail and accuracy
- Ability to manage multiple priorities and meet deadlines
- Proactive, self-motivated, and solutions-oriented
- Reliable team player with a “no task too small” mindset
- Comfortable following up with clients, vendors, and internal stakeholders
- Salary based on experience.
- 40 hours per week.
- Monday to Friday.
- This opportunity does not include relocation. It will be the responsibility of the candidate should relocation be required.
