Our client is a local investment firm who partners with established, entrepreneur led businesses across Canada. The organization operates in a highly professional, relationship driven environment and values discretion, collaboration, and reliability in everything it does. The internal team is lean, experienced, and hands on, working closely with portfolio businesses and external partners across North America. They are seeking a part-time Administrator to join their team on a temporary to permanent basis.Location: Vancouver, BC, in-office
Hours: 24 hours per week
Term: 3 months temporary to start with potential to transition to permanent
Expected Pay Range: $24-27/hr, commensurate with experience and skillsetResponsibilities:
  • Downloading, organizing, and archiving digital statements and operational documents
  • Scanning, labeling, and filing physical materials; maintaining orderly digital and physical filing systems
  • Keeping office, kitchen, and meeting areas tidy and well stocked
  • Acting as a point of contact with building management, cleaners, and service vendors
  • Assisting with minor office maintenance requests and coordinating technology related support
  • Processing incoming and outgoing mail, scanning and routing correspondence, and coordinating couriers
  • Providing occasional reception coverage, running errands, and completing ad hoc administrative tasks
  • Assisting with the organization of monthly corporate card and reimbursement documentation
  • Supporting clerical finance tasks such as invoice tracking, reconciliations, and bill preparation
  • Monitoring office expenses, supplies, and vendor charges for accuracy
  • Helping coordinate meetings, team lunches, and small firm events
  • Supporting logistics for investor and board meetings, including room setup, catering, and materials preparation
  • Assisting with maintaining internal contact or investor records
  • Helping post basic updates to online platforms when requested
  • Coordinating with external IT providers for equipment setup and user support
Requirements:
  • A minimum of two years' experience in an office or administrative support role
  • Strong organizational skills with a high level of accuracy and follow through
  • The ability to prioritize competing tasks and work independently with sound judgment
  • Professionalism and discretion when handling confidential information
  • Clear, courteous communication with colleagues and external contacts
  • Proficiency with Microsoft Outlook, Word, Excel, and Teams
