Job Description:We are looking for a detail-oriented Administrative Assistant to join our team in Vancouver, British Columbia. In this role, you will provide essential support to the legal services department, ensuring smooth operations and seamless coordination within a meticulous and collaborative work environment. This is a 3-6 month contract position offering a hybrid work arrangement.Responsibilities:
  • Prepare and submit expense reports accurately and in a timely manner.
  • Format and revise legal documents to ensure consistency and compliance.
  • Provide administrative support to the legal services team, including scheduling meetings and ordering catering.
  • Coordinate room bookings and set up meeting spaces for team events.
  • Assist with planning and logistics for large-scale events, including liaising with external participants.
  • Manage email correspondence and ensure timely responses to inquiries.
  • Utilize SharePoint to organize and maintain departmental files and records.
  • Collaborate with team members to ensure seamless communication and workflow.
  • Perform data entry tasks with high attention to detail.
  • Maintain a meticulous and organized workspace in alignment with business casual standards.
Requirements:
  • Minimum of 3 years of experience in an administrative role.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Familiarity with SharePoint for file management and collaboration.
  • Strong interpersonal and customer service skills, with the ability to work effectively in a team setting.
  • Exceptional attention to detail and organizational skills.
  • Ability to handle multiple tasks and prioritize effectively.
  • Strong written and verbal communication skills.
