At CABHI, we are building a future where aging is shaped by lived experience, powered by innovation, and driven by system-wide collaboration.Job Summary:The Programs Specialist plays a key role in ensuring that funded innovators receive the supports they need to advance their solutions, including access to CABHI’s acceleration services such as the Coaches Community, end-user engagement opportunities, research and evaluation support, and other capacity-building resources.Working across multiple programs, the Specialist, Programs provides coordination, communication, and operational support to help drive high-quality program execution and a seamless experience for innovators.·Responsibilities include, but are not limited to:· Program Coordination
  • Support day-to-day delivery of CABHI’s core programs across research and industry streams.
  • Schedule program activities, workshops, learning series sessions, and coaching engagements.
  • Assist with the preparation of program materials, agendas, briefs, and presentation decks.
  • Coordinate with internal teams (Acceleration Services, Research, Evaluation, Operations) to ensure smooth program execution.
  • Monitors program timelines and participant engagement to anticipate upcoming service requirements, proactively coordinating internal teams to ensure readiness and continuity.
· Applicant Intake & Screening
  • Support intake processes for Ignite, Fuel, Amplify, D+A, and other funding opportunities.
  • Conduct initial screening for eligibility, completeness, and alignment with program requirements.
  • Help coordinate review panels, selection meetings, and follow-up communications
  • Identifies trends or recurring issues in applications and recommends pre‑emptive communication or process adjustments to improve applicant experience and program alignment.
· Innovator Support
  • Serve as a first point of contact for applicants and funded innovators as needed.
  • Proactively identifies potential barriers to applicant or innovator progress and initiates outreach, resources, or adjustments to support seamless advancement through program stages
  • Provide timely responses, guidance, and navigation support to help innovators access CABHI services.
  • Anticipates information needs and coordinates timely guidance, templates, and supports.
  • Coordinate introductions to mentors, coaches, researchers, evaluators, and end-user groups.
· Data, Reporting & Documentation
  • Maintain accurate records in CABHI’s internal systems, including Airtable, Excel/Sheets, CRMs, and tracking tools.
  • Support data collection and reporting for program KPIs, funder requirements, and internal dashboards.
  • Prepare meeting notes, summaries, briefs, and progress updates for senior leadership.
· Research & Landscape Scanning
  • Conduct background research on applicants, markets, competitive landscapes, and relevant AgeTech developments.
  • Assist with synthesizing insights for decision-making and program planning.
· Operations & Logistics
  • Support planning and delivery of events, showcases, webinars, and Demo Days.
  • Coordinate contracting activities, follow-ups, and administrative documentation.
  • Provide general operational support across the Programs Team.
Key Qualifications:
  • Degree in health science, business, public policy, psychology, engineering or related discipline; Master’s degree preferred.
  • Minimum of three (3) years of relevant experience.
  • Strong organizational skills with the ability to manage multiple projects and deadlines.
  • Clear, professional written and verbal communication.
  • Comfort working in a fast-paced environment with multiple stakeholders.
  • Demonstrated interest in innovation, healthcare, or aging and brain health.
  • Detail-oriented, reliable, and proactive.
  • Strong interpersonal skills and comfort supporting diverse innovators, clinicians, researchers, and companies.
  • Ability to synthesize information and communicate clearly.
  • Collaborative mindset with an interest in learning and growing within the innovation sector.
  • Professionalism aligned with Baycrest values of compassion, excellence, innovation, and respect.
Preferred:
  • Familiarity with AgeTech, digital health, or health-system innovation.
  • Understanding of early-stage research, funding ecosystems, or basic venture/innovation processes.
  • Experience with Excel/Google Sheets, Airtable, or CRM tools (an asset, not required).
Compensation:At Baycrest, we take pride in ensuring our compensation structure is internally equitable and compliant with pay equity legislation. We believe compensation should be transparent, equitable, and reflective of your experience and growth. Our salary ranges are structured to support progression, from learning the role to demonstrating full proficiency.For this position, the salary range is $74,654 to 93,318. The target hiring range is $74,654 to 85,000 per year.Your placement within the target hiring range will depend on your job-related knowledge, skills, abilities, and relevant education and experience, as well as considerations such as market conditions and internal equity.
