Hours: 35 hours per week (1) one hour lunch; Mon - Fri (8:30 am - 4:30 pm)

Campus Location: WhitbyDuties and Responsibilities:Reporting to the Faculty Finance and Administration Manager for the Faculty of Skilled Trades & Apprenticeship and the Faculty of Hospitality & Horticulture Science, the incumbent is responsible for coordination, organization, and growth of pre-apprenticeship programming at Durham College. The incumbent fulfills all related administrative activities including ministry reports, maintaining employer database to assistant students with all aspects of employment (i.e., EI and OW claims, foreign credential equivalences, review of academic assessments, etc.).The incumbent develops and maintains accurate and up-to-date employer and client files and records and supports financial oversight activities related to the Pre-Apprenticeship program. This includes tracking the commitment and expenditure of incentives and training grants, monitoring the program budget to identify under- or over-expenditures, and processing employer and student financial incentive payments. The incumbent also maintains statistical and financial records to support reporting and demonstrate program outcomes.The incumbent is the first point of contact for all academic related functions for pre-apprenticeship students. It is imperative that College and Ministry guidelines/regulations are followed at all points of advising students throughout the duration of the pre-apprenticeship program. This role provides academic guidance and leadership to students with a wide range of needs, including helping them access appropriate college resources and a variety of learning strategies, and finding success with job placement. This support and other actions mean the incumbent has a direct impact on student success, and as such, they must understand the importance of professionalism, confidentiality and strong communication.Working with Community Employment Services and developing relationships with potential work placement employers, the incumbent is responsible for performing job development, job matching/placement and job retention services for pre-apprenticeship students. This position is also responsible for facilitating training grants/incentives for employers. The position requires travel to various employer locations in the development of relationships and may involve hours outside of standard business operation.The incumbent is expected to carry out assigned duties to support all components of service delivery by working in collaboration with Deans, Faculty, Directors, Career and Student Development, Manager of School College Work Initiative and Academic Upgrading, and the Executive Dean who has program accountability.
- Provides Academic Guidance to Pre-Apprenticeship Students by:
- Informing students regarding pre-apprenticeship academic requirements and interpretation of college policies as required
- Ensuring timely and accurate information is provided upon request and communicated in an efficient, professional, and customer-focused manner
- Thoroughly document all student interaction - maintaining Banner and other information records provided to students, date(s), and means of contact, i.e., email, voicemail, appointment, recommended referrals, strategies, and academic options
- Provide outreach, cold calls/recruitment to employers to identify available opportunities to employers participating in the Pre-Apprenticeship program.
- Extensive collaboration with Durham College Community Employment Services Job Developers regarding requirements for potential clients
- Case conference with Job Developers to establish appropriate placement opportunities best suited to the clients' needs
- Place students into employment placements with and without financial incentives, volunteer, job trials, mentoring, and on-the-job opportunities
- Develop on-the-job training plans and agreements, including negotiating and establishing financial incentives
- Monitor placements and on the-the-job training agreements with students/ employers to support success and communicate this information to the program team as needed
- Monitor and follow up with all students on placement/training to provide support as required to ensure effective customer service outcomes
- Identify students who may require additional coaching / mentoring to maintain employment. Identification of need may be determined by workplace performance, repeated job loss, absences from the workplace, or being new to the Canadian workplace
- Services include but are not limited to:
- Development of a resource pool of mentors/coaches
- Identification of the need for additional support (with individual and employer)
- Development of a support plan with the individual and the mentor/coach, and the employer
- Link students with mentors and coaches to provide support during and after job placement
- Monitors and assesses employer suitability by:
- Ensure all applications and supporting documentation are provided, including adherence to Employment Standards Act, Ontario Human Rights Code, Workplace Safety and Insurance coverage, third party liability insurance, AODA, etc
- Conduct on-site inspections and record results of inspections for all new employers registering
- Assess the appropriateness of the workplace and the capacity of the employer to provide a positive experience and work-related training
- Review Health and Safety checklist with employers and ensure proper training has occurred
- Develop and maintain up to date employer and client files/records
- Responsible for the commitment and spending of incentives/training grants
- Track the Pre-Apprenticeship budget regularly to ensure under/over expenditures do not occur
- Process timely payments of financial incentives
- Provide up-to-date and accurate information to Pre-Apprenticeship Support Assistant prior to assigned deadlines to ensure accurate and timely data entry into EOIS-APPR
- Other duties as assigned
- Three-year degree or diploma in Human Resources, Counselling, Social Services, Business Administration, or equivalent
- Minimum of five years experience working with employment counselling of youth and adults or job development capacity
- Demonstrated successful direct contact sales, marketing, job development, or recruiting experience
- Experience in an academic office with a focus on student interaction and service
