- Managing calendars on behalf of executives, work with other departments' EAs/AAs to coordinate meeting bookings as needed
- Assist with meeting room bookings for internal and external meetings, including guest registration and catering orders as needed
- Provide general administrative support to a high performing team of finance/investment professionals
- Handle highly sensitive and confidential matters relating to the daily activity of the department and/or organization.
- Assist with team planning including off-sites and social events: find venues, coordinate vendor contracts and payment, communicate with department, etc.
- Book and manage complex global travel arrangements, itineraries or other duties related to support professionals who travel globally.
- Reconcile credit card expenses and input into Expense Reporting System.
- Work with HR and IT to ensure the smooth on-boarding process for new employees
- Work closely with other executive assistants and teams to increase efficiencies and provide overall departmental support.
- Be a CPP Investments' ambassador by playing a key role in representing the investment business internally and externally. Conduct work in professional, friendly, easily accessible and approachable manner.
- Work cross functionally as part of a team with other members and departments.
- Accommodate and complete staff requests managing timelines and deliverables.
- 2+ years of experience gained from fast-paced, professional environment
- High school diploma required, college diploma or bachelor's degree preferred.
- Experience providing support to multiple professionals and managing competing priorities.
- Experience with complex calendar management, booking high profile meetings, events, scheduling travel and managing expense reimbursement process.
- Working knowledge of MS Office (Word, Excel, PowerPoint, Outlook, Calendar) and comfort and interest in learning new applications.
- Requires strong communication skills, both written and verbal in English

- Able and willing to work flexible hours, as required.
- Proven attention to accuracy and detail, highly organized with the ability to prioritize and multi-task.
