- Enters and audits all projects time entry and administration functions in the ERP System. Including but not limited to collecting, verifying, and entering employees' regular and overtime hours into the payroll system, ensuring compliance with employment and payroll standards.
- Communicate payroll deadlines, discrepancies, or updates to employees and projects.
- Coordinate incoming and outgoing mail.
- Oversee the inventory of office supplies, ordering new supplies as necessary to keep the office running efficiently.
- Compile and submit expense reports, ensuring accuracy and timely submission
- Responsible for operating and maintaining office equipment, such as copiers, fax machines, and computers, ensuring everything is functioning properly.
- Maintain the document control system and filing
- Coordinate reporting from Prairie Division team members.
- Liaise with Procon Travel to coordinate site travel for personnel and visitors.
- Perform other related duties as assigned.
- Diploma in Office Administration, Payroll or other related fields; or
- Completion of high school diploma and equivalent combination of education and experience
- Payroll Compliance Practitioner (PCP) is considered an asset.
- Minimum 3 years related time entry and payroll experience.
- Experience entering time and managing overtime within Modified Work Arrangements
- Ability to interpret and apply overtime rules in accordance with the Employment Standards Act (e.g., daily vs. weekly thresholds in the applicable province or territory).
- Knowledge of payroll principles, practices and cycles
- Strong organizational and verbal/written communication skills
- Proficient with spreadsheets including formulas, pivot tables, and data validation in Excel.
- Ability to problem-solving, resolving discrepancies between timecards and reported hours
- Analytical and problem-solving skills with attention to detail
- An understanding of payroll practices and Employment Standards.
- Ability to maintain confidentiality and discretion
- Ability to work well under pressure and meet deadlines
- Ability to multitask and prioritize workload
- Ability to work effectively in both office and remote environments
- Bilingual (English/French) is considered an asset
