Job Description:Wood is seeking a highly organized and proactive Executive Assistant to provide comprehensive support to the Vice President, Power Solutions. The successful candidate will be based in our Vancouver office and will play a crucial role in managing the VP's emails, calendar, and administrative tasks efficiently. Final salary will be based on relevant and applicable experience, education, and the specific skill set and qualifications required for the role.Responsibilities:
  • Manage and prioritize the VP's emails and calendar effectively, ensuring timely responses and scheduling of appointments
  • Handle inquiries related to costs, budgets, and charge codes, acting as the gatekeeper and providing necessary information or escalation as required
  • Coordinate travel arrangements, including booking hotels and accommodations for the VP and other stakeholders
  • Review and analyze timesheets, providing feedback to staff and escalating issues when necessary to ensure accuracy and compliance
  • Utilize Excel extensively for various tasks, including budget tracking, data analysis, and reporting
  • Assist with departmental needs, such as organizing team meetings and events (e.g., donut sessions), preparing presentations, and managing documentation
  • Act as a liaison between the VP and internal/external stakeholders, maintaining professional communication and confidentiality at all times
  • Handle ad-hoc administrative tasks and projects as assigned by the VP, demonstrating flexibility and adaptability
  • Provide support to office services
Qualifications:
  • Proven experience as an Executive Assistant or similar role, preferably supporting senior executives in a corporate environment
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively and meet deadlines
  • Strong proficiency in Microsoft Office Suite, particularly Excel, for data analysis and reporting
  • Exceptional communication and interpersonal skills, with a professional demeanor and the ability to interact with individuals at all levels
  • Detail-oriented with a high degree of accuracy in work output
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Proactive attitude and willingness to take initiative in problem-solving and decision-making
  • Bachelor's degree or equivalent experience preferred
