We are looking for a highly skilled and detail-oriented Executive Assistant for our client, a large Vancouver-based firm within the resource sector. This position plays an important role in providing a high level of administrative support to a senior-level executive and leadership team. Expected Salary Range: $65,000 - 90,000 per yearResponsibilities:
  • Managing a complex calendar for the Executive and determine priorities when there are competing demands - schedule meetings and making required changes
  • Organize travel arrangements and associated logistics for both domestic and international travel
  • Proactively identify scheduling conflicts or emerging issues and take action to provide resolution in a timely manner
  • Monitor access to the executive's inbox, prioritizing and flagging important emails for attention
  • Support with the internal administrative needs of for the legal team/department
  • Handle expense report preparation and submission for processing
  • Prepare reports for the management team's weekly meeting
  • Provide support to in areas of HR administration and internal IT activities
  • Organize event logistics for internal meetings and events
  • Stay aware of long-term strategic goals and support the delivery of such through effective time management and planning
  • Maintain confidentiality with sensitive information including financial documents and/or personal information
  • Provide ad-hoc administrative support to the Senior Leadership team on occasion, as needed
  • Able to be flexible after normal working hours, on occasion, to attend to emergencies that arise
Requirements:
  • Minimum of 5 years' experience in a senior-level executive assistant support position is ideal
  • Fully proficiency with MS Office Suite and posses strong overall technical skills and familiarity with SharePoint, Adobe Pro and Teams
  • Strong time management and organizational skills with the ability to multitask
  • Excellent written and oral communication skills are essential
  • Expert critical thinking, problem solving and decision-making skills working within time constraints
  • Ability to demonstrate tact and discretion while being highly service oriented
  • Enjoys working in a fast-paced setting and flexible to changing priorities
  • Self starter who is able to work independently as well as within a team environment
