- Acts as the first point of contact in answering incoming calls, screening calls where necessary and routes to appropriate colleagues. Relays all messages in a prompt and professional manner.
- Greets all visitors to Convergint in a professional and courteous manner and ensures they have prepared visitor badges prior to any scheduled visitor arrivals. Ensures that all customer experiences on Convergintās premises are positive.
- Training of expense completion with current colleagues, supervisors and new colleagues joining Convergint.
- Point of contact to review, correct and escalate colleague expenses, submit and liaise with finance toward accurate and timely processing.
- Provide administrative support as required including, but not limited to: uniform inventory and distribution, assist technicians with expenses, order stationary and office supplies, pick up mail.
- Draw purchase orders when required and scan packing slips to the purchasing team for processing in a timely manner.
- Scan, email and/or mail incoming cheques from customers to accounts receivable.
- Print & email monthly invoices for vendors to accounts payable team.
- Assist Human Resources with onboarding new hires by ensuring laptops and cell phones are set up prior to the new colleagueās start day.
- Organize location events in conjunction with the locationās management team including Convergint Day, in-office celebrations and events, major meetings, safety meetings and AGMs.
- Keep up to date and informed on all company policies.
- Coordination of facility management to include janitorial services, snow removal, lawn maintenance, plumbing, electrical and HVAC
- Must be willing to take responsibility for warehouse duties when required.
- Present a professional image of Convergint at all times in appearance and behavior.
- Act as āour customerās best service providerā at all times thereby ensuring Convergint is the customerās first choice for service.
- Ability to lift 30lbs using proper lifting techniques at all times.
- Strong computer skills including Word, Excel, PowerPoint and Outlook and Internet research skills.
- Strong organizational and time management skills with a high regard for attention to detail.
- Must be a self-starter and work well with limited supervision.
- Strong verbal, written and interpersonal communication skills.
- Good financial knowledge and skillsāability to understand basic financials such as accounts receivable/payable, purchase orders, work orders, etc.
- Strong ability to adapt to changes related to work processes, department structure, environment and technology.
- Good ability to demonstrate independence, resourcefulness and tenacity.
- Certificate or diploma in business administration (or related experience).
- Must have obtained Government of Canada clearance OR must be eligible for clearance upon hire.
- Minimum of one year experience in service and administration within a business environment is required.
- Previous experience working in a warehouse environment &/or construction experience is considered an asset.
