(employee will be working with or have access to children or vulnerable adults and requires a Criminal Record Check)NoJob DescriptionIn accordance with the Mission, Vision, Values and strategic direction of the Vancouver Island Health Authority (Island Health), patient & staff safety is a priority and a responsibility shared by everyone at VIHA; as such, the requirement to continuously improve quality and safety is inherent in all aspects of this position.Reporting to the Manager, Medical Staff Recruitment, the Assistant contributes to the effective operation and administration of the Medical Staff Recruitment Office by providing general administrative support to the Manager and Recruiters including maintaining departmental databases and spreadsheets, compiling reports and preparing a variety of documents.QUALIFICATIONS:Education, Training And ExperienceA level of education, training and experience equivalent to a high school diploma, graduation from a recognized administrative or administrative assistant program and four years' related administrative assistant experience, preferably in a healthcare environment. Experience with physician and international recruitment and marketing are assets.Skills And Abilities
  • Strong computer and word-processing skills and extensive knowledge of applications such as MS Office, Visio, and Adobe Acrobat.
  • Knowledge of routine office practices and procedures.
  • Proven ability to perform a high volume of work accurately, efficiently, and promptly under pressure.
  • Demonstrated proofreading and organizational skills, with the ability to pay close attention to detail and accuracy.
  • Ability to effectively organize workflow in a logical sequence and be able to adapt quickly to changing priorities.
  • Motivated, detail oriented, organized, and the ability to perform in a fast paced, dynamic team environment.
  • Ability to manage an administrative calendar including scheduling and arranging meetings, appointments, and travel.
  • Ability to manage confidential and restricted material in a professional manner.
  • Ability to work independently using initiative, judgment and problem-solving capabilities with limited direction.
  • Ability to communicate effectively with others; maintaining positive relationships with all stakeholders.
  • Demonstrated superior customer service, communication and relationship building skills.
  • Demonstrated commitment and motivation to continuous self-improvement.
  • Effective interpersonal skills appropriate to working with all levels, with emphasis on medical staff and medical staff leaders, administrative support colleagues and external stakeholders.
