The salary range for this position is CAD $29.89/Hr. - CAD $39.24/Hr.Job SummaryCome work as a Medical Administration Coordinator & Assistant with Vancouver Coastal Health (VCH)!Reporting to the Manager, Medical Affairs, the Medical Administration Coordinator & Assistant provides direct administrative and operational support to the local and Associate Local Medical Directors within the designated Community of Care (CoC), operating within a dual reporting structure to ensure alignment with both portfolio priorities and site medical leadership needs.The role is responsible for coordinating the medical credentialing and privileging process, annual medical staff reappointment activities, and the maintenance of all medical staff and locum provider records within the electronic credentialing database. This includes ensuring that appointments, privileges, reappointments, and related documentation are processed accurately in accordance with organizational bylaws, rules, and regulatory requirements.The position supports physician and medical staff payment processes, including the coordination and submission of payments related to on-call coverage, sessional work, locum support, and other approved physician remuneration streams. The role also supports the administration of rural benefits and incentive programs, including the coordination of applicable claims, documentation, and communication related to rural retention, locum supports, travel, and associated benefit processes.In addition, the position supports medical leadership governance activities, including the coordination of meetings, preparation of agendas, minutes, correspondence, and other documentation required to support the Local Medical Advisory Committee (LMAC), Associate Local Medical Directors, and other site-based medical leadership functions as required.The incumbent prepares a variety of well-researched, accurate, and timely documents and correspondence, supports medical staff onboarding and operational workflows, assists with medical staff inquiries and issue resolution, and helps coordinate meetings and portfolio priorities.Primary working relationships include the Manager, Medical Affairs, local and Associate Local Medical Directors, medical department and division heads, credentialing and reappointment teams, physician compensation, rural program partners, risk management, site leadership, and other Medical Affairs teams across Vancouver Coastal Health.QualificationsEducation & Experience
  • Diploma in a related program plus three to five (3-5) years' recent, related experience in a complex health care environment with progressively more responsible secretarial and administrative positions supporting senior level management, or an equivalent combination of education, training and experience.
  • Must have advanced word processing, spreadsheet, database and presentation software skills and the ability to type a minimum of 60 w.p.m.
Knowledge & Abilities
  • Exercises considerable judgment, tact and discretion in preparing, disclosing and handling information of a confidential and/or sensitive nature.
  • Liaises in a professional and courteous manner with senior leaders, managers/directors, staff and the external suppliers to gather and disseminate information.
  • Communicates in a compelling, clear and understandable manner (both verbally and in writing) and uses strong persuasion abilities to represent needs of others.
  • Utilizes strong investigative and analysis skills in order effectively administer program requirements. Applies excellent time management skills to prioritize and complete assignments in a manner that optimizes departmental effectiveness and contributes to organizational success.
  • Employs expertise in the use of computer software applications to create a variety of documents. Practices care and thoroughness when entering and maintaining systems information, calculating and summarizing data, and compiling reports.
