
Accounting Clerk

- Assist with daily posting of client payments, firm expenses, and operating disbursements.
- Maintain accurate records of accounts payable and receivable.
- Prepare and process bank deposits, EFTs, and wire transfers.
- Support month-end and year-end closing processes.
- Trust Accounting & Compliance
- Record client retainers and disbursements in accordance with Law Society trust account rules.
- Reconcile trust accounts and ensure funds are applied to the correct client/matter.
- Flag discrepancies or compliance risks to the Accounting Manager immediately.
- Billing & Collections Support
- Generate client invoices and ensure alignment with lawyer/clerical time entries.
- Support collection efforts by tracking outstanding accounts and preparing aging reports.
- Communicate with internal staff regarding billing adjustments or corrections.
- Reporting & Documentation
- Prepare routine financial reports for the Accounting Manager (e.g., cash flow, aged receivables, expense tracking).
- Maintain accurate filing of invoices, receipts, and financial correspondence (digital and physical).
- Assist in preparing financial information for audits, tax filings, and compliance reviews.
- Administrative & Systems Support
- Maintain accuracy of financial records within the firm's accounting software (e.g., QBO, Clio, or similar systems).
- Assist with onboarding new vendors, verifying W-9/1099 (or Canadian equivalents) and payment details.
- Provide general clerical support to the accounting department, including data entry, scanning, and file management.
- Team Collaboration
- Work closely with the Accounting Manager to support ongoing projects, financial process improvements, and firm initiatives.
- Liaise with lawyers, clerks, and operations staff to ensure smooth coordination of billing and payment processes.
- Provide back-up coverage for other finance team members when required.
- Knowledge of accounting principles and practices.
- Familiarity with trust accounting regulations (Law Society compliance).
- Proficiency with accounting software (e.g., QuickBooks Online, Clio, Excel).
- Strong attention to detail, accuracy, and confidentiality.
- Excellent organizational and time management skills.
- Ability to work collaboratively in a professional team environment.
