- Manage and maintain the Founder's email inbox (Outlook), including prioritization, drafting responses, and flagging urgent matters
- Coordinate and optimize complex business and personal calendars
- Schedule meetings, calls, travel, and appointments with precision
- Prepare meeting agendas, materials, and follow-up action items
- Act as gatekeeper while maintaining strong professional relationships
- Draft polished communications in the Founder's voice
- Oversee daily administrative tasks to ensure operational efficiency
- Manage documentation, contracts, and confidential records
- Assist with reporting and document preparation
- Coordinate internal communications between departments
- Help build and refine systems as the company scales
- Work alongside the Bookkeeper using Sage for expense tracking and financial documentation support
- Process and reconcile expenses
- Assist with invoice coordination and payment tracking
- Support reporting and financial documentation as needed
- Manage personal calendar commitments and scheduling
- Coordinate appointments, reservations, and personal logistics
- Support special projects and ad hoc executive requests
- Collaborate closely with the Founder's Personal Assistant to ensure seamless coverage
- Work closely with the Front Desk to manage guest experiences and meeting logistics
- Support internal team coordination
- Help improve administrative systems and workflows as the company grows
- Support ongoing digital transformation and automation initiatives
- Microsoft Outlook (Email & Calendar Management)
- Microsoft Office Suite
- Sage (Accounting/Financial Systems)
- Google Suite
- Asana, Notion, or similar project management tools
- Comfort with digital systems and workflow automation tools
- 5+ years supporting senior executives in fast-paced, high-growth, or high-performance environments
- Proven ability to operate as a strategic partner, not just an administrative supporter
- Mastery of organization, prioritization, and time management
- Outstanding written and verbal communication skills
- Strong business acumen — able to distill complex information into actionable insights
- High proficiency in Google Suite, Asana, Notion, or similar project management tools
- Discretion, judgment, and professionalism in handling sensitive information
- A proactive, solution-oriented mindset with strong critical thinking skills
- Experience in manufacturing, industrial operations, healthcare, wellness, or high-performance organizations is considered an asset
