Your goal in this position is to determine the staffing requirements for the Nurse Externs by liaising daily with Charge Nurses and/or Managers within the inpatient patient care units. You will also schedule the Clinical Extern Coordinators and Nurse Externs based on their availability to ensure staffing requests are met and will provide statistics on staffing requirements. You are highly organized, with the ability to work independently with minimal supervision and can effectively prioritize and multi-task utilizing a flexible and adaptable approach to changing priorities. In this role, you will be an effective problem solver and will possess strong communication skills. This position supports the hospital's academic mandate by advancing care through teaching and learning and/or transforming care through research and innovation. This position contributes to the shared responsibility of ensuring health and safety policies are followed to provide for a healthy environment for patients, staff, physicians, learners, volunteers, and families.On a practical level, you will
- Liaise with charge nurses and managers to co-ordinate Nurse Extern staffing requests and needs
- Schedule assignment of Clinical Extern Coordinators to Nurse Externs for each shift
- Provide direction for Nurse Externs regarding the Hospital's policies and procedures
- Prepare and maintain time schedule requests and attendance records
- Identify and communicate concerns to the appropriate person and follow through on resolution of issues as required
- Maintain the Nursing Extern Resource Office, which includes the staffing system, filing, record keeping, payroll transactions, program reports, data collection, report writing and submission of reports to the ministry
- Collect and record statistics related to staffing requests from various patient care units
- Minimum of two years office experience
- College Diploma in Office Administration or another related field
- Proficiency in Microsoft Office Suite with extensive experience in Excel and PowerPoint
- Proficiency in Electronic Payroll systems
- Strong verbal and written communication skills
- Strong organization and problem-solving skills
- Accurate and efficient keyboarding skills, minimum of 45 w.p.m.
- Experience with KRONOS is an asset
- Bilingualism in French/English an asset
