JOB SUMMARY:Reporting to the Director, Marketing and Communications, the Communications Coordinator supports the delivery of clear, timely, and effective communications on behalf of the organization. The position is responsible for coordinating RPL’s signage needs, supporting operational communications and promotions, managing the workplace Intranet site, and providing administrative and workflow support to the Marketing and Communications Unit.RESPONSIBILITIES:1. Support the Marketing and Communications team with various marketing and communications projects. Develop and implement promotional materials to address operational communication needs. Coordinate the production of communications materials by gathering content, photos, and graphics, and liaising with third-party service providers to produce, print, and distribute materials related to RPL events and services. Create tools and templates to support consistent implementation of operational communications and evaluate effectiveness where appropriate.2. Work with the MAC team to support the use of the organization’s Intranet as a central, comprehensive space for workplace information. Develop and execute an annual plan identifying Intranet projects and priorities. Organize and maintain content to ensure information is clear, current, and easy to find. Provide training and support to new users including those responsible for sharing workplace news and information. Ensure space is organized appropriately and effectively. Identify opportunities to enhance use of the platform to support transparency and understanding across the organization.3. Administer the logistics of RPL promotional assets and swag, including recommending items, maintaining inventory, and coordinating orders (e.g., t-shirts, bags, notebooks). Reconcile in-branch sales and provide required information to the Finance Office. Recommend, track, and order marketing assets such as event banners, tents, and trade show materials.4. In consultation with the MAC team develop and maintain an annual signage plan and budget for approval by the Director, Marketing and Communications. Assess signage needs through consultation with Branch Managers and staff, site tours, and regular reviews of existing signage. Keep informed about signage trends, materials, and requirements, including accessibility considerations. Oversee signage projects delivered by third-party vendors, addressing issues or challenges as they arise and making decisions regarding changes during production or installation. Review signage invoices for approval by Director and draft signage-related RFPs as required. Develop signage templates for use in library branches using the Canva Visual Suite.5. Provide administrative support to the Marketing and Communications Unit, including records management, statistics tracking and analysis, media monitoring, and maintaining electronic files. Triage Marketing and Communications service requests and assign them to team members as appropriate.6. Other duties as assigned.QUALIFICATIONS:1. University degree in business administration or related field.2. Two or more years’ experience working in an office setting and managing multi-faceted projects from inception to completion.3. Excellent writing skills and a strong command of the English language.4. Experience with Office 365, MS Teams and SharePoint, and the online Canva Visual Suite.5. Strong interpersonal skills, with the ability to work effectively both independently and as part of a team, and to build positive working relationships with colleagues, stakeholders, and customers.6. Demonstrated ability to manage multiple priorities, meet deadlines, and deliver high-quality work in a fast-paced, changing environment.7.
