Position OverviewSecuriguard Services Ltd. is expanding its operations into Regina, Saskatchewan, and we are seeking a highly capable and driven Scheduling and Operations Coordinator to support the successful launch and ongoing management of our new office and field operations.This role is critical in ensuring smooth, efficient, and compliant day-to-day operations, with a strong focus on staff scheduling, operational coordination, client support, and administrative excellence. The ideal candidate will be proactive, detail-oriented, and confident in managing a fast-paced environment while supporting both field teams and leadership.Key ResponsibilitiesOperations & Scheduling ManagementDevelop, manage, and maintain staff schedules for all Regina sites using scheduling platforms (e.g., TrackTik, WinTeam or equivalent).Ensure full staffing coverage across all sites, including managing last-minute call-ins, absences, and shift changes.Collaborate closely with the Client Service Manager (CSM), Recruitment team, Field Supervisors, Guards, and leadership team to forecast staffing needs and plan accordingly.Monitor and improve fill rates, overtime usage, and operational efficiency.Coordinate with subcontractors (if applicable) to ensure adequate staffing support.Administrative & Office CoordinationSupport the setup and day-to-day operations of the Regina office, ensuring systems, records, and processes are well maintained.Assist with onboarding of new employees, including documentation, orientation coordination, and training compliance.Maintain accurate and up-to-date records related to scheduling, attendance, and compliance requirements.Handle internal and external communications professionally, including emails, phone calls, and client inquiries.Prepare reports, documentation, and operational updates for leadership review.Client & Field SupportAct as a key point of contact for clients and frontline staff, ensuring timely issue resolution and high service standards.Support the CSM in maintaining strong client relationships and service delivery expectations.Provide guidance to security personnel in line with Standard Operating Procedures (SOPs).Assist in resolving operational challenges, escalating complex issues when required.Compliance & ReportingEnsure operations comply with provincial regulations, company policies, and health & safety standards.Monitor training compliance, certifications, and licensing requirements for all staff.Track and report on key operational metrics, including KPIs, scheduling efficiency, overtime, and attendance.Assist in investigating incidents, preparing reports, and maintaining proper documentation.After-Hours SupportProvide support for urgent operational issues outside of regular business hours, as required.Required QualificationsCompletion of Grade 12 or equivalent (post-secondary education in law enforcement, business, or related field is an asset).Previous experience in operations coordination, scheduling, dispatch, or supervisory roles, preferably within security or a related industry.Preference will be given to candidates holding a valid Regina security license.Strong communication, problem-solving, and organizational skills.Ability to manage multiple priorities in a fast-paced, startup-like environment.Proficiency in Microsoft Office Suite (Excel, Word, Outlook).Experience with scheduling platforms (e.g., TrackTik, WinTeam, Bi tools) is preferred.Preferred Skills & ExperienceKnowledge of Saskatchewan security regulations and industry standards.Experience working in a high-growth or newly established operation is a strong asset.Familiarity with KPI tracking, reporting, and operational analytics.Strong attention to detail with the ability to analyze and resolve discrepancies (e.g., payroll, scheduling).Experience in client relations, workforce planning, and conflict resolution.Ability to work independently while maintaining a high level of accountability and professionalism.Key CompetenciesLeadership & Initiative - Takes ownership in building and stabilizing new operations.Adaptability - Thrives in a dynamic, evolving environment.Attention to Detail - Ensures accuracy in scheduling, reporting, and compliance.Communication - Clear, professional, and effective with all stakeholders.Problem-Solving - Proactively identifies and resolves operational challenges.Why Join Us?This is a unique opportunity to play a key role in launching and shaping Securiguard's operations in Regina.
