Overview:The Projects Administrator is responsible for providing administrative, financial, and compliance support across the project lifecycle, with a strong focus on project setup, billing, change management, and audit readiness. This role ensures that project records, financial transactions, and supporting documentation are accurate, complete, and maintained in accordance with internal controls and audit requirements.Working closely with Project Management, Sales, Finance, and Project Accounting, the Projects Administrator plays a key role in maintaining project integrity, supporting month‑end processes, and enabling effective project execution through disciplined administration and process improvement. Responsibilities:Project Setup, Maintenance & Lifecycle Administration
  • Process new projects in accordance with established procedures and approval requirements.
  • Update project status as required once approvals and supporting documentation are complete.
  • Coordinate administrative updates related to project scope, pricing, and status changes.
  • Support project close‑out activities in line with internal processes and lifecycle requirements.
  • Maintain accurate and complete project records, checklists, and supporting documentation throughout the project lifecycle.
Invoicing, Billing Support & Documentation
  • Provide administrative support for project billing and invoicing activities.
  • Ensure appropriate documentation is maintained to support billing accuracy and compliance.
  • Assist with tracking and follow‑up of project invoices and related records.
  • Support audit and compliance requirements through consistent documentation practices.
Reporting, Process Support & Stakeholder Collaboration
  • Prepare and run standard project and financial reports to support operational and month‑end activities.
  • Assist in identifying discrepancies, gaps, or issues related to project administration.
  • Collaborate with Project Management, Sales, and Finance teams to support effective project execution.
  • Contribute to process improvements by participating in discussions and maintaining administrative guidance and checklists
Additional Administrative & System Support
  • Provide general administrative support related to financial, corporate, and operational activities.
  • Maintain and distribute reference information required for internal processes.
  • Act as a point of coordination for select corporate administrative matters.
  • Participate in testing, implementation, and adoption of new tools, systems, or process changes.

  • Post‑secondary education in Business Administration, Accounting, Finance, or a related field, or equivalent experience.
Experience
  • 3+ years of experience in project administration, project accounting support, or a related role.
  • Experience supporting project billing, change management, or financial controls in a project‑based environment.
Technical Skills:
  • Strong proficiency with ERP and financial systems (e.g., NetSuite or similar).
  • Strong Excel skills and experience running and validating reports.
  • Ability to manage detailed documentation and multiple workstreams accurately.
Required CompetenciesAttention to Detail: Ability to manage complex documentation and financial data with accuracy.Process Discipline: Strong adherence to controls, approvals, and audit requirements.Collaboration: Ability to work effectively with Project Managers, Sales, Finance, and Accounting.Preferred Qualifications
  • Experience working within a PMO or project‑based organization.
  • Experience supporting audits or external financial reviews.
  • Familiarity with FX processes, corporate reporting, or insurance administration.
Physical RequirementsPrimarily office‑based or hybrid work with regular use of computers and standard office equipment.Work EnvironmentWork is performed primarily in an office or hybrid environment, with frequent interaction across Project Management, Sales, Finance, and Accounting teams. The role requires sustained attention to detail, adherence to deadlines, and coordination across multiple stakeholders.
