- Manage, track, and control project documentation in accordance with Kent and client standards
- Maintain accurate document registers, transmittals, revision histories, and controlled drawing lists
- Distribute engineering and project documentation to internal and external stakeholders
- Ensure timely processing of incoming and outgoing project correspondence
- Assist site personnel with drawing searches and retrieval of historical records and documentation
- Create, revise, and update drawings following client drawing standards and approved drafting processes
- Support Maintenance, Operations, Inspection, and Capital Project drafting requirements
- Provide field verification support, with assistance from Operations as required
- Support Inspection with isometric drafting for both Chemicals and Refinery operations
- Control, manage, and maintain Critical Reference Drawings (CRDs)
- Maintain controlled CRD lists and CRD databases for various business units in accordance with client requirements
- Ensure CRD processes are followed, and proper approvals are obtained for all document changes
- Maintain CRD-related manuals and controlled reference documents
- Monitor and update Emergency Operations Centre (EOC) CRD records as revisions occur
- Review and update Control Room P&ID binders
- Communicate weekly with technical contacts regarding outstanding P&ID changes and updates
- Maintain scorecards and reporting related to business unit P&ID reviews
- Administer drawings and records within Vault and other applicable document management systems, ensuring metadata is accurate and up to date
- Submit add/remove requests for users and coordinate system change requests as required
- Aid and support to Vault and document system users
- Support the upload, tracking, and distribution of project drawings and contractor submissions
- Assist with the administration of document workflows within Aconex and other applicable systems
- Govern the process of issuing, loaning, and receiving drawings to/from engineering contractors
- Ensure contractors are conforming to client drawing standards and maintaining drawing integrity
- Issue new drawing numbers and process drawing deletions in accordance with approved project and MOC workflows
- Collect and account for all As-Built drawings upon completion of projects
- Ensure proper sign-off of drawings to support final project closeout
- Gather estimates and relay PO increase requirements to the Project Manager where required
- Distribute project documentation according to discipline and monitor progress as needed
- Assist project teams with document retrieval, organization, and records cleanup activities
- Maintain up-to-date logs, registers, tracking reports, and document status records
- Support weekly reporting related to drawing/document status and project deliverables
- Monitor overdue submissions and follow up as required
- Follow established document control, drafting, and records management procedures
- Support continuous improvement initiatives within drafting and document management practices
- Verify that all documentation meets formatting, naming, and procedural standards
- Responsible for working within the provisions and guidelines of the Quality Assurance system
- Interface with project engineers, project managers, inspection personnel, client representatives, vendors, and contractors to support documentation and drawing needs
- Provide administrative and coordination support to engineering and project management functions as needed
- Maintain current site lists of engineering guidelines and general procedures for site and contractors
- Issue new facility numbers (e.g., panel numbers, line numbers, etc.) in accordance with client standards
- Post-secondary education in Drafting, Engineering Technology, Business Administration, Office Administration, Records Management, or a related field preferred
- Equivalent technical training and/or relevant industry experience will also be considered
- 5+ years of relevant experience in drafting, document control, drawing coordination, project systems support, or administrative support in an engineering, industrial, or construction environment
- AutoCAD experience is required
- Experience with Vault, Aconex, EDMS platforms, and engineering/project document workflows is strongly preferred
- Proficiency in Microsoft Office Suite, including strong Excel reporting and tracking capabilities
- Experience supporting industrial, refinery, chemicals, or plant environments is an asset
- Knowledge of document control best practices, drawing workflows, revision control, and engineering records management processes
- Excellent command of the English language in both oral and written communication and skills
- Ability to communicate clearly and professionally with internal teams, contractors, and client stakeholders
- Strong organizational, analytical, and logical problem-solving skills
- Structured and organized approach to work
