- Proactively managing complex calendars for three senior executives, including scheduling meetings, resolving conflicts, and ensuring optimal time allocation.
- Organizing and coordinating internal and external meetings, including agenda preparation, minute-taking, and follow-up on action items.
- Arranging travel, including flights, accommodations, ground transportation, and itineraries.
- Preparing travel expense reports and ensuring compliance with firm policies.
- Preparing, editing, and formating reports, presentations, and correspondence for executive review.
- Tracking and compiling data for regular and ad hoc reporting requirements.
- Coordinating and supporting firm-wide initiatives and projects, ensuring deadlines are met and stakeholders are informed.
- Assisting with small-scale project management, including tracking deliverables and communicating progress.
- Serving as a key point of contact between the executives and internal/external stakeholders.
- Drafting and distributing communications on behalf of the Leaders, ensuring clarity and professionalism.
- Designing and preparing high-quality presentations for meetings, conferences, and client engagements.
- Managing confidential information with the utmost discretion.
- Performing other administrative duties as required to support the Leaders and the broader leadership team.
- Minimum 5 years of experience as an Executive Assistant, preferably supporting multiple senior leaders in a professional services or legal environment.
- Post-secondary education in business administration or a related field is an asset.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual meeting platforms and an aptitude to learn new technologies.
- Exceptional organizational, time management, and multitasking skills.
- Strong written and verbal communication skills, with the ability to interact effectively at all levels of the organization.
- Demonstrated ability to manage competing priorities and work under pressure in a fast-paced environment.
- High degree of professionalism, discretion, and judgment.
- Experience with project coordination or small-scale project management is an asset.
