Join the Granville Island team, in the Lease Coordinator position. In this role, you will provide support for commercial filming contracts, lease file digitization, lease processing, general lease coordination, administrative tasks, and special project support for the Leasing department. Responsibilities include responding to all commercial filming and lease-related inquiries, coordinating communication with internal and external stakeholders, preparing listings and FAQ documents, conducting space showings, gathering and reviewing prospective tenant information, drafting leases and verifying data with the Finance department, maintaining databases and files, and supporting the Senior Lease Administrator and Leasing Manager in all leasing and commercial filming activities related to Granville Island.This is a temporary position of 13 months.What you'll do:
- Serve as the main point of contact for commercial filming inquiries, coordinating walkthroughs, short-term location agreements, and ensuring tenant and site impacts are proactively managed.
- Support the lease digitization project by organizing, scanning, and validating hard-copy lease files to ensure accurate digital records.
- Coordinate rapid-turnaround approvals for events, activations, pop-ups, and subtenant requests, ensuring compliance with lease terms and site rules.
- Prepare lease documentation for execution-including offers to lease, agreements, renewals, amendments, subleases, and surrender documents.
- Track, monitor, and file all lease and supporting documents for new and existing tenants
- Manage and respond to leasing inquiries received via phone, email, the website, or in person, referring leads as required.
- Maintain tenant data, including lease expiry and renewal tracking, and support communication through drafted letters and notices.
- Support special projects such as market research, tenant mix analysis, and preparations for new lease opportunities (material gathering, brochures, email blasts, website postings).
- A post-secondary education in administration, legal administrative studies, or a property management licensing program.
- A minimum 3 years of experience in lease administration/coordination within commercial property management, or experience as a legal or executive assistant.
- Excellent written and verbal communication skills, with the ability to convey information professionally and clearly.
- Strong organizational skills and proven ability to complete tasks accurately, efficiently, and independently.
- Demonstrated resourcefulness, critical thinking, and ability to proactively anticipate and mitigate challenges.
- Working knowledge of lease agreements, filming contracts, and supporting documentation related to leasing activities.
- Strong interpersonal skills, with the ability to interact effectively with tenants and stakeholders using tact, confidentiality, and sound judgment.
- Flexibility to support operational needs, including experience coordinating fast-turnaround requests (filming, events, subtenants, digitization projects) and availability to work evenings or weekends as required.
- An experience with Yardi is considered an asset
