Under the direction of the immediate supervisor, provides administrative and secretarial support. Participates in ensuring the smooth functioning of the unit’s operations. Acts as resource person for policies and procedures. Administers unit accounts. Assists in the organization of unit activities. Responsible for documents and files of the unit. Maintains computerized information systems.Major Duties and Responsibilities:Provide any direct support to G-Can directorSchedule meetings, Take minutes and follow-up on business during and after meetingsCommunicate with co-PIs, Scientific advisory board and Steering Committee members for G-Can to achieve its overall goalOrganize talks and conferencesProcess and submit expense reports and advances Keep records e.g fund financial statements, grant and collaborations agreementsDraft support letters on behalf of G-CanThe list of duties and responsibilities outlined above is representative and not a complete and detailed list of tasks which may be performed by an employee whose position has been matched to this generic job description.Other Qualifying Skills and/or Abilities:Demonstrated organizational and prioritization skills and ability to multi-task, meet and respect deadlines. Ability to work autonomously and as part of a team.Proven ability to draft, proofread and edit correspondence or documents using appropriate spelling, grammar and punctuation.Proficient in Office suites: Word, Outlook, Excel, PowerPoint, MS Forms, Office 365, TeamsIntermediate Knowledge of: Doodle, Zoom, Social media platforms (eg LinkedIn), McGill software's such as Minerva, McGill Marketplace and BannerExperience in website editing an assetDemonstrated experience in minute taking & meticulous in documenting follow-up actions regarding ongoing files.Demonstrated ability to provide support for various administrative activities, including scheduling meetings, procurement, event planning, organization and logistics management an assetAcquired work ethics and skills such as Confidentiality.
