- Lead end‑to‑end proposal delivery in alignment with AtkinsRéalis processes and best practices, from kick‑off through submission.
- On-time submission of compliant, client-centric, responsive proposals.
- Plan, schedule, coordinate and host kick-off, status, and color review meetings. This includes identification of appropriate authors, section leads and technical subject matter experts required to meet the deliverables.
- Partner with capture management, business development, technical experts, commercial/risk, legal, marketing, and graphics teams to deliver compliant, high‑quality submissions.
- Mentor assigned pursuit staff (technical staff, proposal coordinators, content specialists).
- Develop proposal schedules, compliance matrices, assignments, and production templates to drive clarity and accountability.
- Communicate verbally and in writing with proposal participants to track tasks against the schedule.
- Monitor progress of the proposal process with timely follow-up to meet internal proposal deadlines.
- Contribute directly to proposal content, crafting clear, compelling, and client‑focused narratives from complex technical information. The Proposals Manager is accountable for non-technical content, for which interviewing SMEs or project stakeholders is necessary.
- Coordinate all submission forms and certificates.
- Work with graphic team to develop graphical content.
- Maintain an updated RFI log following RFI process.
- Monitor progress, identify risks to quality or schedule, and proactively escalate and resolve issues.
- Corroborate that client documentation is up to date on SharePoint implementing best practices for document management (i.e. version control, management of permissions log, mirroring Client data room structure).
- Perform edit on near‑final draft of proposal documentation, forms, and supporting materials.
- Lead development of necessary presentations for proposals.
- Ensure the proposal closeout process is complete.
- Maintain CRM database updated.
- Prepare client debrief summary, corroborate that project manager conducts the Client Debrief, attend the debrief and capture information on debrief template.
- Strengthen our pursuit capability by refreshing and developing proposal content that reflects our evolving expertise and delivery experience.
- Actively contribute to broader WinWork and growth initiatives in a fast‑paced, collaborative environment.
- A degree in relevant field (i.e., Bachelor’s degree in Business, Communications, Marketing, English, Journalism, or similar).
- 5 - 8 years of relevant experience in proposal coordination, project management, proposals, for the AEC industry.
- Strong project management skills and the ability to manage multiple priorities under tight deadlines.
- Advanced writing skills and ability to transform complex technical information into client-centric narratives.
- Proficiency with MS Office tools (including document management on SharePoint, PowerPoint, Excel, MS Visio, and MS Project). Comfortable with and willingness to use CoPilot and other AI tools, as approved by the company.
- A collaborative mindset, strong listening skills, and the confidence to work with stakeholders at all levels.
- The initiative to proactively engage subject matter experts and champion proposals that clearly articulate our value to clients.
