ManagementMaintenance and OperationsTesting and InspectionsESG & InnovationContract and Vendor OversightStakeholder ManagementFinancial ManagementBudgeting and Cost ControlCapital Investment PlanningEnterprise-wide Mail, Print & Imaging ServicesFacilities and Mailroom Operations ManagementEstablish and execute on facilities management services, including security, repairs & maintenance and cleaning of tenanted premises of approximately 400,000 square feet.Develop and oversee all IFM services for the implementation of facilities management strategies to ensure consistency across Corporate Real Estate & Workplace (CREW) operations, where applicable.Oversee the logistics of 7,400 inbound and 2,200 outbound mail bins annually, 1.5M of document services for pension and corporate print production, 71,000 documents for imaging processing, and office supply management of 2.1M sheets of paper that are utilized annually.Develop, implement and maintain procedures to ensure compliance with Pensions quality control standards on document processing & data collection processing.Responsible for managing relationships with landlords, property management and internal stakeholders.Establish digital workflows and implement process improvement initiatives to track departmental work requests for job completion rates, chargeback internal business units and achieve service delivery client/customer satisfaction targets (SLA’s).Run data analytics from Service Now, Sensor Utilization data, Power BI Dashboards, 310Maxx (Angus), and BAS systems to guide enhancements and report on operational efficiencies.Resolve escalations from Facilities and Mailroom teams made through Service Now to ensure smooth operations and practices followed.Oversee mailroom production volumes, manage service contracts, track inventory and sustainability metrics.ESG & InnovationEnsure operational activities align with the CREW ESG scorecard.Optimize office energy consumption, ensuring efficient lighting, HVAC systems, and equipment to reduce carbon emissions.Establish and lead best practice initiatives for inbound/outbound shipment processes to reduce carbon emissions footprint.Drive innovations and opportunities that arise from strategic partnerships and continuously set the right goals and targets for and/or with these partners to bring performance and quality of deliverables to the next level.Lead changes in the Global CREW portfolio to innovate products and/or services, meet (changing) performance criteria.Connecting with other CREW peer groups for optimization of products, processes, or performance locally or with global scope, sharing best ESG practices and leveraging economy of scale and scope.Maintain close partnerships with the Pension team to support their automation and process improvements, while implementing new technologies and workflows that reduce paper consumption and effort.Strategic PlanningLead the strategic planning for the CREW function by assessing local business needs, identifying relevant trends, and establishing high-quality standards, while providing guidance on achieving these goals.Collaborate with CREW Senior Space Management Analyst or Architect to project future lease term needs with periodic headcount analysis reports by department.Align initiatives with the Global CREW strategic pillars to translate future office needs into short- and long-term plans for both hard and soft services.Manage local strategic vision and planning in accordance with corporate strategy and objectives, ensuring alignment with the CREW strategy while establishing local priorities for resources, sourcing, and development.Understand and address the needs of the business and its stakeholders (users).Investigate and introduce initiatives that support Global CREW objectives, ensuring timely implementation and desired performance outcomes.Develop enterprise-wide mail logistics program to reduce postage, courier, and international shipping expenses across global corporate offices.Stakeholder ManagementManage relationships with key suppliers, consultants, and advisors.Ensure alignment with OMERS business to stay informed about organizational changes and anticipate evolving needs and capacities.Communicate the impact and progress of projects to business stakeholders, ensuring coordination across activities.Participate in the continued development of OMERS Imaging Program in partnership with Information Management.Lead the Pensions relationship to adjust processes based on Pensioner enrolment rates to augment in-house print production and reduce third party printing costs.Budget ManagementOversee and manage regional Facilities and Mail, Print and Imaging G&A annual operating expenses totaling $1.8M CADAuthorized to sign off expense limits as per most updated expenditure policy (up to $50,000 CAD).Conduct annual reviews of current services and contracts, evaluating resource usage to identify opportunities for more effective and efficient operations.Ensure expenditures are aligned with the budget year's objectives and strategies, as well as the company's overall strategic plan.Space strategy - Occupancy ManagementPlan, manage, and execute all components of construction projects not related to office relocations, i.e. MEP modifications for LEED certifications.Ensure projects are completed on time and within budget.Maintain relationships with relevant stakeholders.In collaboration with the Space Strategy team, manage the procurement and leasing of office furniture.Support the Space Strategy team in areas of occupancy strategies, move logistics, maintenance, and growth plans that impact changes in Facilities as appropriate.Health & Safety/ComplianceIn partnership with HR, conduct ergonomics assessments for all new starters, if requested.Acts and solutions on outcomes identified from the H&S committee meetings, where required.Ensure Facilities team provides tours for new employees and identify H&S areas.BCP/Crisis ManagementIn collaboration with the BCP team and BCP Champion, update and communicate any departmental changes in Parasolutions.Team LeadershipManage, coach and develop a multi-functional team including performing all components of the annual performance management cycle.Clearly map vision and leadership strategy for team growth and development.Responsible for providing leadership and direction on day-to-day operations for eleven (12) direct reports.Recruit and hire new employees, contributing to the development of a skilled and cohesive team.Provide MPI cross training on workflow and equipment/machine operations, when necessary.Develop cross training opportunities between facilities and MPI coordinators to review and complete ServiceNow ticket requests.Qualification & Skills:5+ years of experience in Facilities Management or similar role.Strong written and verbal communication skills to accept and provide instructions and handle vendor contracts, among other tasks.Hands-on experience with office machines (e.g. copiers, fax machines, printers).Ability to multitask to complete a wide variety of tasks.Leadership ability to manage challenges and potentially oversee employees.Strong organizational skills.Team player and flexible (later working can be required on occasion during busy periods).Self-motivated & proactive (able to think ahead).AutoCAD.Accuracy and attention to detail.Ability to manage your time effectively and prioritize.Professional, warm and friendly with strong interpersonal skills to interact positively with all employees.Reliable and trustworthy (confidential information).Controlled under stress.Confident building relationships and dealing with external
