
Outsource Production Coordinator

- Act as the primary liaison between the internal VFX team and external vendors, managing all aspects of outsourced work
- Coordinate the delivery and receipt of elements, shots, and data between vendors and internal teams, ensuring all materials meet technical and creative specifications
- Oversee IO processes, including ingesting, tracking, and distributing digital assets, plates, reference materials, and final renders
- Communicate project schedules, shot lists, and delivery deadlines to vendors, tracking progress and troubleshooting any issues that arise
- Work closely with Supervisors, Producers, and Editorial to anticipate and resolve potential bottlenecks in element flow
- Ensure all data transfers are secure and adhere to studio and client security protocols
- Generate regular status reports on deliveries, IO operations, and vendor performance
- Assist with QC checks on incoming assets to ensure they meet technical requirements before integration into the pipeline
- Support the implementation and improvement of IO and data management workflows
- 2+ years of experience in VFX production coordination, preferably with experience in outsourced vendor management
- Solid understanding of VFX production pipelines, asset management, and post-production workflows
- Hands-on experience with IO/data wrangling, including file transfers (Aspera, FTP, Signiant, etc.), data tracking, and version control
- Familiarity with VFX-specific software and tools (Shotgun/ShotGrid, FTrack, FileMaker, etc.)
- Excellent communication and interpersonal skills, with the ability to build strong working relationships with both internal and external teams
- Highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment
- Knowledge of security best practices for handling sensitive client and studio data
- Comfortable working with large data sets and troubleshooting technical issues related to file formats, transfers, and storage
