- Manage daily operational tasks to ensure efficient workflows and timely completion.
- Prepare, format, proofread, and transcribe legal documents and correspondence.
- Process CIPO correspondence, assist with electronic filings, and support trademark prosecution.
- Track deadlines, send reminders, and assist with client reports and responses.
- Maintain accurate client records and update practice management systems.
- Open and close client files, conduct conflict searches, and perform general administrative duties.
- Communicate professionally with clients, legal professionals, and stakeholders.
- Prioritize and manage incoming work to meet deadlines and advance case files.
- Collaborate effectively with team members in a fast-paced environment.
- Minimum three years’ administrative experience in a legal or professional services setting; experience in Intellectual Property, Trademarks, or at CIPO is an asset.
- Proficient in Microsoft Office Suite and quick to learn new software and systems.
- Excellent attention to detail and strong written, verbal, and interpersonal communication skills.
- Organized, professional, and collaborative.
- Skilled at multitasking, time management, and adapting to changing priorities.
- Maintains confidentiality and exercises sound judgment.
- Proactive, positive, and committed to the success of the Intellectual Property practice.
