- Coordinate the planning, execution, and delivery of menus, events, promotions, and activations across multiple units.
- Manage project timelines and workflows to ensure all deliverables are completed on schedule and within scope.
- Serve as the primary point of contact between internal departments (culinary, operations, marketing) and external vendors or partners.
- Proactively communicate project updates, deadlines, and priorities to all stakeholders in a timely manner.
- Organize and coordinate deliveries, materials, and resources required for departmental projects and events.
- Maintain accurate project files, timelines, and documentation using ClickUp and Microsoft Office.
- Support the logistics of on-site activations, including signage, printed materials, and vendor coordination.
- Keep digital assets and project archives well organized and accessible to the team.
- Communicate clearly and efficiently with both internal and external stakeholders to align expectations and resolve issues.
- Draft and distribute project briefs, status updates, and recap reports.
- Ensure that all parties have the information they need to execute their responsibilities without unnecessary delays or confusion.
- Write and edit copy for internal communications, event descriptions, promotional materials, newsletters, and brochures.
- Prepare reports, educational materials, and articles supporting marketing initiatives and departmental communications.
- Maintain and organize digital databases including tracking analytics, campaign data, assets, and project documentation.
- Ensure all historical files, reports, menus, and promotional materials are properly archived and easily retrievable.
- Assist with gathering, organizing, and analyzing quantitative and qualitative marketing research data to support strategic initiatives.
- Contribute insights and recommendations to marketing strategy initiatives based on data findings and stakeholder feedback.
- Bachelor's degree or diploma in marketing, communications, project management, or a related field.
- Excellent written and spoken English required (work is mainly done in English)
- Exceptional organizational skills with the ability to manage multiple projects and priorities simultaneously.
- Proficiency with Microsoft Office (Word, Excel, PowerPoint) and ClickUp or similar project management tools.
- Experience with Canva or other design tools considered an asset.
- Strong interpersonal and communication skills, both written and verbal.
- Ability to work independently while maintaining a collaborative, team-oriented approach.
- Experience in hospitality, food services, or a university environment considered an asset.
