Closing Date: September 15th 2025Position SummaryThe Peter Munk Cardiac Centre is thrilled to announce an exceptional opportunity for an administrative assistant to join the team. You will be working directly under the visionary leadership of our Chief AI Scientist. We are looking for candidates to support our dynamic research team. In this role, you will provide essential administrative and clerical support to ensure smooth day-to-day operations within the department.You will work closely with researchers, and leadership, assisting with scheduling, data entry, financial tracking, meeting coordination, and documentation management. This position is ideal for candidates who enjoy working in a fast-paced, collaborative research environment and are eager to contribute to UHN's visionDuties
- Ensure smooth office operations, including ordering supplies, coordinating repairs, and maintaining equipment
- Handle general correspondence, draft routine documents, and manage departmental filing system
- Answer phone calls, screen and redirect inquiries, and respond to routine information requests
- Submit bi-weekly payroll timesheets for management approval on behalf of the department
- Maintain accurate and up-to-date departmental records, including scheduling databases and contact lists
- Coordinate department meetings, including booking rooms, preparing agendas, and tracking action items
- Manage calendars for assigned staff and research leads, ensuring smooth scheduling of appointments, conferences, and deadlines
- Proactively resolve scheduling conflict and adjust calendars based on availability and priorities
- Assist with expense tracking, invoice submissions and coordinating payments related to lab supplies and research activities
- Liaise with internal and external stakeholders, including UHN staff, collaborators and research partners
- Must be 16 years of age or older, per UHN policy.
- Completion of Community College Diploma in General or Medical Office or equivalent Administration
- Completion of a recognized medical or business post secondary secretarial arts program at the diploma level
- 1-2 years related administrative support experience
- Previous on-the-job computer/word-processing, database and spreadsheet software experience
- Experience in a Microsoft Office environment
- Experience working in a health care environment, an asset
