The Department of Medicine is seeking a Facilities Support person who assists with activities such as space allocation, moves, equipment and key inventories, in support of the 200+ faculty members and 400+ staff. This role provides key support to the spaces and facilities at the heart of medical education and research in the Department of Medicine.This role sits under the Department of Medicine Facilities Support Lead, and works closely with the Faculty Safety Advisor, Faculty of Medicine and Dentistry Office of Facility Planning & Projects, Office of the University Architect, Divisional Directors, Chair's office, Alberta Health Services [AHS], external contractors and suppliers.What you will do:Inventory Management - Clinical and Research Support
  • Maintains an up to date inventory of all spaces and equipment assigned to the DoM including a 3 - 5 year projected needs assessment.
  • Coordinates with AHS for required space and equipment needed for the clinical and academic support staff assisting the Department of Medicine physicians.
  • Works with the ADMs of other departments within the Faculty on shared spaces, resources and equipment.
  • Coordinates and initiates access requests including key and lock change requests, proximity card requests.
  • Maintains a database of keys and proximity card access and ensures that these are returned/removed when faculty and staff are off-boarded.
Space Planning
  • Assists with the assignment of office, wet and dry lab spaces
  • Supports resolution of issues related to space planning, design, equipment and budgeting through participation in and collaboration with appropriate groups.
Health and Safety Coordination
  • With the Faculty Safety Advisor, ensures Principal Investigators are knowledgeable on obtaining, handling, maintaining and disposing of hazardous materials.
  • Assists the Faculty Safety Advisor in the orientation of new lab-based investigators regarding environmental health and safety, radiation safety, animal care and use, human research ethics
Relocation Support
  • Responsible for supporting all aspects of intermediate moves to accomplish larger organizational plans
Minimum Qualifications
  • Demonstrated facilitation, negotiation and problem-solving skills; strong analytical and interpersonal skills.
  • Ideal candidate must be self-directed and comfortable with ambiguity - a wide degree of creativity and latitude is expected.
  • Basic knowledge of IT hardware support and infrastructure
  • High School Diploma
  • Computer proficient and comfortable using databases, MS Word and Excel and Google applications, including Google Mail
  • Understands the importance of following processes and applying workflow measures
  • Excellent written and verbal communications skills
  • Strong organizational skills with an ability to work on multiple projects simultaneously with attention to detail.
  • Maintains a client service focused, positive attitude contributing to an overall vibrant and healthy workplace
  • Able to perform moderate lifting duties (50-100 lbs assisted) to perform furniture and equipment moves.
  • Use of basic tools, ie. Screwdriver, wrenches, Allen key etc.
  • Able to walk about campus as required
Preferred Qualifications
  • Post secondary education in a related area
  • Experience in administration and coordination in either large industrial, scientific or medical public sector settings, or post-secondary education institutions.
  • Experience in procurement, supply chain or inventory management is an asset
  • Knowledge and understanding of Health, Safety and Environment Management Systems is an asset
  • Previous University of Alberta experience an asset
