- Review upcoming jobs and confirm readiness, timelines, and site status with supervisors and internal teams.
- Schedule, organize, and coordinate crews across multiple job sites.
- Communicate consistently with crews and supervisors throughout the day regarding job status, changes, and priorities.
- Schedule suppliers for material pickups, deliveries, and returns.
- Strategically plan and manage the Delivery Driver's daily and weekly schedules.
- Provide regular job site updates to management for larger projects.
- Issue purchase orders to suppliers for additional materials or services as required.
- Prepare inspection lists for safety coordination and quality verification.
- Coordinate with service teams to schedule and resolve service-related issues.
- Pre-order materials and coordinate renovation projects, including communication with homeowners on timing and access.
- Address on-site issues as they arise, such as material shortages, access challenges, or site disruptions.
- Maintain accurate documentation and ensure all records are properly organized.
- Perform additional duties as assigned to support operational needs.
- Diploma or bachelor's degree in administration, business administration, or a related field is preferred.
- Valid driver's licence.
- Strong understanding of construction workflows, particularly within exterior trades.
- Advanced proficiency in Microsoft Excel, Word, Outlook, and scheduling or coordination tools.
- Ability to communicate professionally and effectively via phone, email, and text.
- Comfortable working independently while remaining highly collaborative.
- Minimum three years of administrative or coordination experience, preferably within the construction trades or a related industry.
- Experience working directly with field crews and understanding construction sequencing, materials, and timelines is a strong asset.
- Attention to Detail: Highly organized and precise when coordinating schedules and documentation.
- Time Management: Proven ability to prioritize multiple jobs and shifting deadlines.
- Communication: Clear, professional, and responsive in fast-moving environments.
- Problem-Solving: Able to think quickly and resolve job site issues as they arise.

- This opportunity does not include relocation. It will be the responsibility of the candidate should relocation be required.
