Proposal Submissions:Delivery of compliant, accurate, effective and professionally produced proposal submissions within client-defined time frames.
Write and edit proposal content including cover letters, executive summaries, project descriptions, qualification summaries, project methodology and resumes, ensuring that content that is technically correct and clearly conveys a compelling story that resonates with the Client / Consultant, incorporates win themes / strategies.
Leverage organizational skills to define and manage the proposal response plan, section assignments, and schedule (including proposal color reviews) to ensure that internal deadlines are met and final deliverables are of high quality.
Organize and actively lead proposal status meetings.
Coordinate and review / edit proposal input from a variety of Pursuit Team members / entities, typically involving contributions from engineering, production, finance, commercial, legal, execution teams, and individual / specialty contributors.
Lead document control activities, such as downloading proposal files from client portals, managing client portal passwords and the overall maintenance of internal proposal file structure, as required.
Create and maintain a library of resumes, project profiles, presentations, photos, graphics that adhere to brand standards, ensuring that reviews / approvals are acquired, when necessary.
Supporting business development and strategic initiatives), as required.
Marketing and Communications:Content Development and Coordination:Draft, edit, and proofread a variety of communication materials, including internal announcements, newsletters, web content, social media posts, presentations, and marketing collateral
Ensure all content aligns with brand guidelines, tone, and messaging standards
Coordinate approvals and revisions with internal stakeholders to ensure accuracy and consistencyInternal Communications:Support internal communication initiatives to inform and engage employees across departments and locations
Assist with employee-facing campaigns, updates, and corporate initiatives
Maintain internal communication platforms and content libraries as requiredExternal Communications and Brand SupportAssist in the coordination of external communications, including marketing campaigns, digital content, and corporate materials
Support brand consistency across all channels by applying corporate identity guidelines
Liaise with external vendors, agencies, or partners (e.g., designers, videographers, printers) as neededDigital and Marketing SupportSupport website updates and digital content management
Assist with social media scheduling, monitoring, and reporting
Track and report on communication and campaign performance metricsProfileReporting to the Proposal and Marketing Manager, the Proposal and Communications Coordinator will be responsible for assisting with the timely management and production of proposal submissions (EOI, RFQ, RFP, etc.). Working in close collaboration with pursuit teams from each of our Business Units, the Proposal and Communications Coordinator will support strategy development (i.e. win themes / strategies), schedule and attend meetings, record and distribute pursuit meeting minutes, manage pursuit documentation, and coordinate with content contributors / SMEs. Utilizing both technical and creative skillsets, this role requires a detail-oriented and proactive approach to the planning, development, and production of clear and compelling proposal submissions. The ability to prioritize, facilitate and execute time-sensitive tasks in a collaborative manner is of paramount importance to this role.
The Proposal and Communications Coordinator will also provide support to the Marketing and Communications Team with content creation for internal and external communications (campaign launches, newsletters, social media posts, corporate video production, website copy, brochures, press releases, etc.), event planning and coordination (meetings, conferences, and events), and administrative support to ensure that all digital and print collateral adhere to company brand guidelines. Exceptional written and verbal communication, strong proofreading abilities, and proficiency with social media platforms, content management systems (e.g. WordPress), and graphic design software (e.g. Adobe Creative Suite, Canva), as well as the ability to multitask in a fast-paced environment are required for this role.Why us?Competitive compensation package
