Description :SMS is looking for a driven and detail-oriented Supervisor of Administration to join our team. In this role, you will provide leadership and coordination across branch accounting and administrative operations, working closely with branch personnel, customers, suppliers, and head office teams. Reporting to the Manager, Administration, you will oversee service administration functions, support and mentor team members, and ensure work is distributed effectively and completed accurately. The successful candidate will play a key role in maintaining strong processes, supporting branch operations, and ensuring compliance with company policies and procedures.Work Location: Edmonton, AB
Salary: $80,000 - $90,000 Annually
Work Arrangement: Hybrid – providing the flexibility to work remotely up to 2 days per week.
Schedule: Monday – Friday, 8 hours per dayWhat You’ll DoWorkload Management (50%)
  • Leads and supports a team of 15 direct and indirect reports across five remote mining branches
  • Manages and balances workloads to ensure timely, efficient branch support, including absence coverage
  • Recruits, onboards, develops, and evaluates administrative staff
  • Monitors work quality and provides coaching, guidance, and training
  • Ensures adherence to SMS policies, procedures, and systems
  • Collaborates with Operational Support and Customer Solution teams on information flow
  • Develops and implements departmental procedures, goals, and improvements
  • Tracks and reports operational metrics and performance
  • Travels to remote branches as required to provide hands-on support
Project Work (25%)
  • Drives continuous improvement initiatives, including JSOX compliance
  • Provides subject matter expertise to remote mining projects
  • Reviews WIP reports, work orders, and complex customer invoicing
  • Ensures accurate, timely invoicing for remote and labour pool work
  • Oversees payroll reconciliation activities and payroll cut-off readiness
  • Partners with Payroll and branch leadership on process improvements
  • Prepares reconciliations and adjustments in line with SMS accounting practices
Compliance (25%)
  • Ensures compliance with health, safety, environmental standards, legislation, and SMS policies
  • Champions safety culture and supports Joint Workplace Health & Safety Committees
  • Ensures corrective actions are implemented and sustained
  • Audits service data quality and directs corrective action as needed
What You BringThe successful candidate will bring post-secondary education in business administration or a closely related field, along with five to seven years of progressive administrative experience.Other requirements include:
  • Minimum two years of experience supervising administrative staff
  • Strong analytical and problem-solving skills with a high level of accuracy and attention to detail
  • Advanced computer proficiency in Microsoft Office (Word, Excel, Outlook) and internal SMS systems
  • Excellent written and verbal communication skills with the ability to work effectively with internal and external stakeholders
  • Strong time management and prioritization skills with the flexibility to adapt to changing demands
