- Provide advanced administrative and paralegal support to the Labour Relations team within People & Culture exercising independent judgment in prioritizing work and managing competing deadlines
- Independently maintain and manage labour relations case files, trackers, and documentation, ensuring accuracy, completeness, and audit readiness for grievances, arbitrations, and CIRB matters
- Support grievance and arbitration processes by coordinating investigations, document production, scheduling, and follow-up actions, escalating issues or risks as appropriate
- Prepare draft correspondence, summaries, chronologies, and reports, identifying key issues, timelines, and dependencies for review by Labour Relations leadership
- Prepare responses, evidence packages and timelines for the CIRB
- Research and document best practices to support collective bargaining activities
- Assist with the interpretation and application of collective agreements and the Canada Labour Code under the direction of leadership
- Coordinate and participate in labour–management committee meetings, including agenda development, minutes, action tracking, and follow-up, ensuring commitments are documented and monitored
- Ensure confidentiality, accuracy, and consistency in all labour relations records and communications
- Actively participate in Porter’s Safety Management System (SMS) including, reporting hazards and incidents encountered in daily operations as well as the investigation and audit of hazards and incidents
- Diploma or degree in Paralegal Studies, Legal Administration, Human Resources, or a related field
- Typically 4–6 years of progressive experience in a paralegal, legal administration, labour relations, or HR support role within a unionized and/or federally regulated environment
- Exposure to CIRB processes or other labour board proceedings is strongly preferred
- Strong organizational and document-management skills with exceptional attention to detail
- Ability to manage multiple priorities while meeting deadlines in a fast-paced, operational environment
- Professional judgement and discretion when handling sensitive and confidential information
- Clear written and verbal communication skills and a collaborative, service-oriented approach
- Paralegal certification or designation is an asset
- Working knowledge of the Canada Labour Code is an asset
- Bilingualism (English/French) is an asset
- Occasional evening or extended hours during negotiations or hearings may be required
- Some travel may be required
