The ideal candidate is creative and enjoys working in a stimulating, mission-driven, results-oriented, and diversity-focused environment. They demonstrate sound judgment in a variety of situations, possess strong written and verbal communication, coordination, and organizational skills, and are able to maintain a realistic balance among multiple priorities.You will be successful in this role if:You enjoy supporting an executive leadership teamYou enjoy following up on administrative tasksYou are comfortable managing a wide variety of activitiesYou are discreet and diplomatic by natureCHALLENGES TO BE METSupport the CMO, as well as the teams reporting to the CMO, with various administrative tasks, including:managing multiple calendars,supporting the onboarding of new employees,submitting requests related to access rights and IT services,managing supplies, travel arrangements, and mail.Organize complex meetings and team events (e.g., multiple stakeholders, different time zones, external guests, candidate interviews, etc.).Prepare meeting agendas and ensure follow-up on action items stemming from CMO leadership meetings, finance leadership meetings, and any other management meetings deemed relevant.Anticipate the CMO’s needs by preparing context briefs, proactively tracking priority files, and managing incoming information with sound judgement.Ensure thorough follow-up on invoice processing and expense account management.Effectively manage competing priorities, process files and requests quickly and proactively, and follow them through to completion, often within tight deadlines.Act as a liaison to facilitate smooth communication between the team and internal departments.Actively participate in SMC-related requests and collaborate with fellow Executive Assistants.Develop and maintain relationships with external partners to ensure information coordination and support various projects.Handle various confidential information, such as reports, documentation, and correspondence.Perform any other duties related to the nature of the position.WHAT WE ARE LOOKING FORCollege diploma in Business Administration or a related fieldMinimum of 5 years’ experience in an executive administrative support roleExperience in the financial services industry and knowledge of BDC operations is a strong assetStrong project management and coordination skills, including the ability to organize work and manage multiple prioritiesStrong interpersonal skills, with the ability to build relationships with both internal and external stakeholdersExceptional attention to detail and ability to perform under pressureDemonstrated ability to thrive in a high-velocity executive environment.Excellent verbal and written communication skills in both official languages (French and English)Strong knowledge of the MS Office suite – Word, Excel, PowerPoint, OutlookComfort in using new technologies and AI tools such as CopilotProudly one of Canada’s Top 100 Employers and one of Canada’s Best Diversity Employers, we are committed to fostering a diverse, equitable, inclusive and accessible environment where all employees can thrive and feel empowered to bring their whole selves to work.
