Reference # AC - 6967Our client, a dynamic downtown Ottawa law firm is currently seeking a Legal Assistant to join their Personal Injury Litigation team.YOUR RESPONSIBILITIES:
- Answering and documenting cold calls from prospective clients
- Editing and formatting legal documents (pleadings, retainer agreements, affidavits, notices, and Statements of Claim)
- Creating and updating timetables for court filings and deadlines
- Submitting court filings
- Preparing correspondence and client communications
- Maintaining client files (paper and electronic) including conflict checks using a document management system
- Coordinating schedules, hearings and meetings
- Docketing and billing time, preparing accounts, tracking disbursements via legal accounting software
- Liaising with clients, courts and opposing counsel
- Maintaining internal file tracking documents
- Maintaining a bring forward and reminder system
- Maintaining the general firm mailbox for phones and emails
- Assisting in the preparation of legal and court proceedings such as examinations, mediations, trials, etc.
- Preparing boardrooms for internal and client meetings including setup, catering and audio-visual needs
- Assisting three lawyers with their general administrative needs
- Assisting law clerks as required
- Assisting with general office support such as scanning, printing, couriers and backup reception duties
- Minimum three (3) years of work experience as a legal or administrative assistant
- Completion of a legal or administrative program or diploma
- Litigation or personal injury legal experience is an asset
- Very strong technical skills using Microsoft Office
- Strong legal specific technical skills with Document Management software and Legal Accounting software is an asset
- Ability to work closely, and in collaboration with lawyers, other clerks, and staff
- Able to work and reason independently on client files
- Strong interpersonal skills to interact directly with our clients, with care and consideration
- Strong communication skills to interact directly and diplomatically with counsel and other legal professionals outside of the firm
- Strong time management skills (able to prioritize with minimal supervision)
- Strong organizational skills, a keen eye for detail, and the ability to multi-task
