This includes calendar management, arranging meetings and appointments, maintaining the office and professional learning/meeting spaces, and updating departmental budgets and expenses. The successful candidate will work closely with the curriculum innovation team providing support as needed to programming and logistics. As well, they will act as lead proctor, supervising examinations for the International Baccalaureate program.The Assistant will also support all aspects of organizing professional learning events, and will liaise with internal and external stakeholders as the first point of contact for the Head, Academics and Professional Learning. The incumbent will work independently, with minimal supervision and guidance and exercise utmost discretion.Key Accountabilities include, but are not limited to:Schedule and manage calendars, including moving meetings as priorities changeMaintain agendas for all scheduled meetings and events and ensure room set up as requiredSupport IB Middle Program with curricular events and student registrationsMaintain a variety of databases and organize digital filing systemsProvide administrative support, such as scheduling meetings, preparing documents, supporting events to the innovation teamOrder supplies and materials for the academics and innovation departments as requiredRenew school-wide memberships and subscriptions while tracking expiration datesSupport reporting to various organizations, along with the annual renewal of application to the Ministry of EducationMaintain office and meetings spaces, and set up each of the day’s eventsCollaborate closely with the HR team to manage scheduling for interviewsSupport scheduling of faculty evaluation meetings and class observations, report creation and follow-upPrepare materials for Ministry inspection, IB program evaluation, CAIS accreditation and Board reportingPreparate curriculum materials, reports and publications as neededTrack and monitor budgets, invoice and expense payments, including reconciliation of budgets and Visa statementsSupervise students during IB exams as lead proctor the exam hallOrganize events such as professional development workshops, meetings, and guest speakersRegister approved faculty for requested/required professional development, IB training courses, roundtables and conferences, including arranging travel and accommodationKeep records of professional development related expenses and support budget tracking processesCandidate Profile:University degree and/or a relevant recognized community college program or equivalent work experience3+ years of related experience in an administrative capacity, preferably in an academic environmentAdvanced computer skills with MS Office (Word, Excel and PowerPoint), Google Drive, and academic databasesExcellent interpersonal skills and ability to liaise with various stakeholdersHighly organized and able to prioritize in a fast paced and high volume environmentAdaptable to changing priorities with short deadlinesExcellent communication skills, both verbal and writtenAbility to maintain confidentiality with with utmost discretionGood judgment, professional attitude, and detail-oriented abilityFamiliarity with the International Baccalaureate (IB) program would be an assetWhy Join Branksome Hall:Joining Branksome Hall will change your life.
