- Assisting the Shared Services Team with daily ongoing administrative tasks in both English and French. Duties include:
- Maintaining a bring-forward system to support day to day administration of tasks
- Organizing the logistics of various meetings and training sessions.
- Preparing and maintaining confidential files, and related materials.
- Assisting with the following duties:
- Processes related to our Equity Partners
- Partnership Admission processes
- Lawyer performance evaluation processes
- Recruitment and Onboarding
- Any other duties to support the Shared Services Team and wider Professional Resources Group.
- Assisting the Education Team with administration and co-ordination tasks in both English and French. Duties to include:
- Assisting with the updating and maintenance of our Learning Management System.
- Organizing Education Team meetings, including preparing agendas and minutes for same.
- Assisting in the preparation of various plans, reports and charts that describe, track or provide updates on education programs.
- Assisting with the updating and maintenance of programming communication templates in English and French.
- Contributing to the ongoing development of all protocols and tracking systems.
- Arranging for payment of consultant invoices, fees or charges for attendance at programs by lawyers or incurred on behalf of the Education Team.
- Supporting translation of communication when required.
- Any other duties as assigned.
- Post-secondary diploma.
- A minimum of three years of office work experience. Law firm or other professional services firm experience preferred.
- Fluent bilingual in French/English required.
- Excellent organization skills, spelling, grammar and proof-reading skills.
- Excellent verbal and written communication skills.
- Demonstrated imitative in task execution.
- Works well under pressure and adjusts to changing needs of the Firm.
- Proven ability to multi-task and communicate effectively with individuals at all levels of the Firm, in a fast-paced environment.
- Excellent time management and planning skills. Ability to meet critical deadlines, with a strict attention to detail.
- Ability to carry out job responsibilities with minimal supervision. Confident in making day-to-day decisions, but also knows when to escalate and seek supervisory assistance.
- Ability to handle confidential information and exercise tact and discretion in dealing with people and/or sensitive issues.
