Position will remain open until filled.The Opportunity:The Program Assistant departments in a range of program support tasks. These include including collecting, typing, editing program correspondence, tracking program expenses, checking and tracking supplies and inventory, booking clients for information sessions, workshops or individual appointments, the maintenance of staff timesheet records and assisting with client follow up and surveys.The key areas of responsibility are:
- Types and edits program correspondence including reports and other documents;
- Book clients for information sessions, workshops and individual appointments;
- Assist with program promotion to community services, the media and DIVERSEcity’s programs;
- Assist with recruitment and intake for program;
- Assist with setting up rooms and resources materials;
- Assist with client follow-up;
- Compile and organize program statistics, files, and resource materials;
- Check supply inventories, order and purchase program materials with approval from Manager;
- Perform opening and closing office procedures;
- Attend and/or assist in organizing program events;
- Participate as a positive and cooperative team member, attend meetings and participate in Society committees and events as required and /or directed;
- Adhere to Policies and Procedures and Personnel Policies, Procedures and Practices of the Society.
- Certificate in Office Administration and a minimum 1-year experience in an office environment; or an equivalent combination of education, training and experience;
- Strong written and spoken English communication skills;
- Excellent computer and Internet skills (advanced knowledge of MS Office, Excel and other databases), with a typing speed of 50wpm;
- Competency with office equipment, procedures and business communications;
- Professional telephone manners and interpersonal skills;
- Ability to work cooperatively within a team, have excellent organizational and time management skills.
