Internal applications received after this date will not be considered as internal and seniority will not apply as position will remain open until filled.The OpportunityThe Program Assistant provides administrative, coordination, and operational support to the BUILD BC–Yukon Equity Stream, an IRCC-funded intermediary initiative that builds the capacity of BIPOC-led grassroots organizations across British Columbia and Yukon.This role supports program delivery, funding distribution processes, stakeholder engagement, and reporting requirements. The position plays a key role in ensuring effective communication, documentation, and coordination across diverse partners.Key Responsibilities:DUTIES AND RESPONSIBILITIES· Provide day-to-day administrative support to the BUILD BCY team to ensure program deliverables and timelines are met.· Prepare and track monthly expenses.· Organize and maintain program statistics, files, and resource materials.· Support coordination of microgrant processes, including tracking applications, agreements, and payments.· Assist with onboarding processes for funded organizations, including documentation and orientation materials.· Coordinate logistics for meetings, training sessions, and capacity-building activities (virtual and in-person).· Organize meetings, including scheduling, agenda preparation, materials, and minute-taking.· Draft and translate basic correspondence, materials, and communications in English and French.· Support bilingual outreach efforts to ensure accessibility and inclusion of Francophone communities.· Ensure consistency and quality of bilingual materials across program activities.· Provide clerical and administrative support including document preparation, correspondence, and filing.QUALIFICATIONS
- Post-secondary training in Office Administration.
- Minimum 2 years of experience in an administrative or program support role, preferably within the non-profit or community services sector; or an equivalent combination of education and experience.
- Fluency in both English and French (spoken and written) is required.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, SharePoint).
- Professional telephone manners and interpersonal skills.
- Minimum 50 WPM, typing speed.
- Experience working in funded programs and non-profit, preferred.
- Ability to work independently and collaboratively in a dynamic group environment.
- Strong attention to detail and ability to manage confidential information.
