- Oversee a portfolio of 30+ buildings and 250+ tenants across commercial, industrial, and residential sectors.
- Manage day-to-day tenant relations and resolve issues efficiently.
- Support leasing activities, including:
- Screening prospective tenants through background and reference checks
- Preparing and reviewing lease renewals, amendments, and assignments
- Negotiating lease transactions and reviewing lease documentation
- Ensuring all documentation and handover requirements are complete prior to unit occupancy
- Track vacancies and unit availability
- Enforce lease agreements and building policies
- Coordinate move-ins and move-outs for tenants
- Oversee rent collection, monitor delinquencies, and address repeat late payments, including issuing collection notices
- Prepare monthly financial and operational reports
- Calculate annual rent and TMI adjustments and update rent collection software accurately
- Review and approve bills, reconciliations, and tax-related matters
- Prepare and manage operating budgets and long-range capital plans
- Evaluate quotes and estimates for property maintenance and other contracts
- Proficiency with Yardi property management software is required
- Respond promptly to tenant inquiries via phone and email
- Oversee daily office operations and staff
- Maintain and update office policies and procedures related to property maintenance
- Track invoices and ensure timely processing
- Schedule and prioritize competing demands, coordinate requests, and resolve conflicts
- Maintain organized digital files, shared drives, and documentation systems
- Support executive leadership with operational priorities and business processes
- Assist with phone calls and email correspondence related to tenants and properties
- 5+ years of experience in commercial property management; experience with some residential as well is an asset
- Property management certification is an asset
- Strong understanding of budgets, recoveries, reporting, and lease administration
- Excellent written and verbal communication skills; able to craft professional correspondence and resolve conflicts effectively
- Proficiency in Microsoft Office and property management software (Yardi required)
- Highly organized, detail-oriented, and able to manage multiple priorities under pressure
- Strong interpersonal skills with the ability to interact confidently with tenants, contractors, and leadership
