We are seeking a highly organized and motivated Commercial Property Administrator / Junior Property Manager who is looking to grow their career in property management. This role offers the opportunity to gain hands-on experience across a diverse commercial portfolio, supporting both the operational and financial aspects of property management. Working closely with a senior property manager, you will play a key role in tenant relations, lease administration, and day-to-day operations, while developing the foundational skills required to step into a full property management role over time.Responsibilities:
  • Serve as a primary point of contact for commercial tenants, managing day-to-day correspondence, responding to inquiries, and ensuring a high level of tenant satisfaction and professionalism
  • Support accounts receivable processes, including rent collection follow-ups, monitoring arrears, and coordinating with accounting to resolve discrepancies
  • Provide administrative support to the property management team, including maintaining organized records, preparing reports, and assisting with budgeting and document management
  • Coordinate contractors and service providers, including scheduling access, obtaining quotes, tracking work orders, and ensuring timely completion of maintenance and repair activities
  • Assist with the administration of commercial leases, including abstracting lease terms, tracking key dates (renewals, expiries, rent escalations), and ensuring compliance with lease agreements
  • Maintain accurate tenant files, property documentation, and system records to support efficient operations and reporting
  • Support the preparation of monthly reporting packages, including occupancy updates, rent rolls, and variance explanations
  • Assist in the management of operating expenses, including invoice processing, coding, and coordination with internal or external accounting teams
  • Support tenant onboarding and offboarding processes, including coordinating move-ins and move-outs and ensuring all documentation is complete
  • Utilize property management software (e.g., Yardi) to input, track, and manage property and tenant data
The ideal candidate is a detail-oriented and proactive professional with a strong interest in building a career in commercial property management. You will bring a foundation of administrative or property management experience, paired with excellent organizational skills and the ability to manage multiple priorities in a fast-paced environment. Known for your strong communication and customer service approach, you are confident interacting with tenants, contractors, and internal stakeholders. You can demonstrate sound judgment, a high level of accountability, and a willingness to learn, taking initiative while also benefiting from mentorship and guidance. Experience with lease administration and exposure to property management systems (such as Yardi) are considered strong assets, along with a positive, team-oriented attitude and a drive to grow into a Property Manager role.What will make you stand out:
  • Hands-on experience supporting a commercial portfolio, including exposure to lease abstraction, rent escalations, and tracking critical lease dates
  • Understanding of property management systems such as Yardi, with the ability to generate reports and maintain accurate tenant and financial data
  • Demonstrated ability to manage tenant relationships with professionalism, including handling escalations and resolving issues efficiently
  • Proactive mindset with a track record of improving administrative processes, coordinating multiple vendors, and anticipating property or tenant needs
