- Completion of High School Diploma
- Certificate or Diploma in Administrative Services, Office Administration or Microsoft Office training etc., preferred
- Minimum one year of experience operating an electronic telephone management (“switchboard”) system in a busy environment;
- Experience in reception services in a hospital or similar environment, preferred
- Experience interacting with patients and families, preferred, and/or experience as a patient or caregiver who has received care in a hospital environment, preferred
- Greets guests, staff and physicians to Providence Care in a friendly and professional manner
- Helps guests navigate and wayfind at PCH and PTCC by providing verbal instructions
- Answers the general telephone line (Reception) and transfers callers to appropriate destination; checks answering machine regularly and ensures a response to callers who have left messages and require callback
- Ensures enquiries are processed in a pleasant, polite, prompt and professional manner and ensures privacy of patient/client information is maintained
- Uses public address system to announce events or page individuals according to Providence Care’s overhead paging policy
- Identifies staff questions or potential concerns to the appropriate manager, with the goal of resolving issues to the best outcome for patients, clients and all who work at Providence Care
- Transfers emergency phone system at the beginning of the morning shift and prior to the end of the shift, in collaboration with Security staff
- Identifies when a visitor/client has a complaint/concern and either helps resolve the situation, supports the documentation of the complaint and/or contacts Patient Relations for additional, timely support
- Is familiar with and understands responsibilities of Reception Services Officers documented in Emergency Code procedures; executes responsibilities when Codes are called
