Our client in the real estate sector is seeking a Property Administrator, who will play a key role in supporting the operations team and contributing to the daily management of the commercial property in North York. You will serve as the primary point of contact for tenants, you will demonstrate professionalism, responsiveness, and strong attention to detail in all interactions. Using your communication and organizational skills, you will manage tenant inquiries efficiently and maintain a high standard of service. You will also support the Property Manager with reporting, budgeting, tenant communications, and administrative coordination to ensure smooth property operations.This role is 100% onsite based out of their North York commercial property.Key ResponsibilitiesAccounts Receivable
  • Coordinate accounts receivable processes for the assigned property
  • Process cheque entries in the YARDI system, apply payments, and maintain daily cash receipt and audit records
  • Maintain and track post-dated cheques, ensuring proper filing and security
  • Follow up on tenant collections and reconcile tenant accounts
  • Prepare accounts receivable adjustments for approval and enter approved changes into YARDI
  • Generate detailed aged receivables reports for mid-month and month-end review
Tenant Information Management
  • Prepare and distribute rental notices for new leases and annual updates
  • Review and approve tenant data updates in YARDI, including move-outs and overholding tenants
  • Coordinate with utility providers for final meter readings and billing updates
  • Maintain accurate tenant, vendor, emergency contact, and fire warden lists
Property Management Support
  • Respond to tenant service requests via phone, email, or in person, resolving or escalating issues as needed
  • Draft tenant communications for review, including welcome packages and emergency procedures
  • Ensure all communication materials are current and accurate
Administrative Duties
  • Provide ongoing administrative support to the Property Manager
  • Act as the front-line contact for tenants, addressing inquiries and ensuring follow-up resolution
  • Prepare tenant chargeback invoices and general correspondence
  • Maintain and update tenant lease records in YARDI
  • Review monthly rent rolls to ensure billing accuracy
  • Maintain up-to-date tenant and supplier contact information
  • Coordinate with accounts payable to code expenses
  • Track and maintain valid insurance certificates for tenants and contractors
  • Assist in preparing monthly ownership reports, including executive summaries
  • Create and manage purchase orders in YARDI
  • Support additional administrative tasks as required
Job Requirements
  • Minimum 1 year of administrative experience
  • Strong decision-making and problem-solving skills
  • Excellent customer service and interpersonal abilities
  • Highly organized with strong attention to detail and accuracy
  • Ability to manage deadlines in a fast-paced environment
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office
  • Experience with YARDI (preferred)
  • Ability to handle confidential information professionally
  • Willingness to perform front desk, reception, and office coordination duties as needed
