Calgary, AB | Full-Time | In-OfficeOur client, a well-established and fast-paced transportation and logistics company, is seeking a Senior Accounting & Office Administrator to oversee daily financial operations and support overall office efficiency. This is a key role within the organization, ideal for someone who brings strong industry knowledge, takes ownership of processes, and enjoys leading and mentoring a team.Key ResponsibilitiesFinancial Oversight & Operations
- Manage day-to-day accounting functions, including cash receipts, deposits, and reporting
- Oversee full-cycle Accounts Receivable and Accounts Payable, ensuring accuracy, timeliness, and strong cash flow management
- Review and approve billing for freight, warehousing, fuel, and contractor-related charges
- Monitor customer accounts, portals, and collections to ensure timely payment
- Oversee weekly contractor pay and reconciliations, ensuring accurate rates, deductions (e.g., fuel), and supporting documentation
- Partner with dispatch and operations to ensure alignment between trips, billing, and financial records
- Provide oversight on high-volume transactional processing and reconciliation activities
- Lead fuel reconciliation across multiple vendors, including cost allocation and reporting by unit/driver
- Oversee IFTA reporting, quarterly filings, and compliance requirements
- Ensure accurate tracking of operational costs and support reporting for decision-making
- Perform and review bank and credit card reconciliations
- Oversee GL coding, expense allocations, and financial data integrity
- Support audit readiness, regulatory compliance, and annual reporting (e.g., WCB)
- Provide leadership, coaching, and mentorship to administrative and accounting staff
- Review team output for accuracy, prioritize workflows, and ensure deadlines are met
- Support hiring, onboarding, and ongoing training of team members
- Continuously identify opportunities to improve processes, efficiencies, and internal controls
- 5+ years of progressive accounting and office administration experience, ideally within transportation, logistics, or a related industry
- Demonstrated supervisory experience with a hands-on, mentorship-driven leadership style
- Strong understanding of full-cycle accounting, including contractor settlements and high-volume transactions
- Experience with fuel tracking, IFTA reporting, or fleet accounting is highly preferred
- Highly organized, detail-oriented, and capable of managing competing priorities in a fast-paced environment
- Advanced proficiency in Microsoft Office, particularly Excel and experience with TruckMate would be an asset.
