
Administration & Project Support Coordinator

Key Responsibilities
- Collaborate closely with project managers to support the full lifecycle of applied research initiatives-from ideation to reporting.
- Draft, proofread, format, and submit project proposals, grant applications, and reporting documents, ensuring alignment with funder guidelines and institutional standards.
- Oversee project and funding tracking systems (e.g., Notion, Microsoft 365), monitor timelines, deliverables, and reporting milestones. Coordinate logistics for research deliverables, including liaising with funders, collaborators, and internal teams to ensure smooth execution.
- Assist with onboarding for new hires, interns, and collaborators-ensuring orientation, access to systems, and smooth integration.
- Provide logistical support for events, workshops, and student-facing initiatives such as DeepSense's Discovery Sessions and Ocean of Data Challenge.
- Assist the Executive Director as needed.
Required Qualifications
- An undergraduate degree, or a comparable combination of experience and education.
- Prior administrative or coordination experience.
- Demonstrated organizational acumen with ability to manage multiple, shifting priorities.
- Strong written and verbal communication skills in English.
- Comfort with office tech stacks (e.g., Microsoft 365, Google Workspace, Notion, or equivalent).
- 1-3 years of experience in a similar role preferably in a university or research settings (experience with Dalhousie administration a strong asset).
- Experience supporting grant and funding applications/processes.
- Bilingual in French and English.
- Familiarity with OCAP® principles (Ownership, Control, Access, Possession).
- Understanding of AI/ML concepts and applied research environments.
