- Provide high-level support on national administrative initiatives and process improvements across multiple offices in Canada to ensure the smooth day-to-day functioning of the Valuation & Advisory team.
- Maintain internal databases and systems with accurate, up-to-date client and project information.
- Responsible for data accuracy, document preparation, and general team support on a national level.
- Assist with collecting and organizing market information using internal systems and third-party databases.
- Update CRM and tracking tools with accurate client and project information.
- Support senior team members with basic research and data entry tasks.
- Review and quality-check administrative components of appraisal reports and supporting documentation.
- Assist with invoice preparation and distribution.
- Coordinate deal processing with appraisers and accounting/finance departments.
- Assist with payment tracking and basic follow-up using established systems and procedures.
- Help monitor Accounts Receivable and flag outstanding items to senior team members.
- Provide support during month-end and quarter-end processes as needed.
- General accounting, office, and other duties, including attendance at team meetings, timely filing of information, and preparation of special reports as needed.
- 0–2 years of administrative, office, or coordination experience (co-op, internship, or part-time experience considered).
- Diploma or degree in business, real estate, administration, or a related field is an asset but not required.
- Ability to work in the downtown Toronto office a minimum of four days per week.
- Strong organizational skills with the ability to manage multiple tasks and priorities in a structured manner.
- Proficiency with Microsoft Office applications (Word, Excel, Outlook, PowerPoint); experience using templates and standard formatting.
- Comfortable working with systems, databases, and shared drives; ability to learn new tools and software quickly.
- High attention to detail and accuracy, particularly when working with documents, data, and financial information.
- Strong time management skills with the ability to meet deadlines in a fast-paced environment.
- Clear and professional written and verbal communication skills.
- Demonstrated reliability, accountability, and a proactive approach to completing assigned tasks.
- Ability to maintain confidentiality and exercise discretion when handling sensitive information.
- Ability to follow established processes while escalating issues or questions appropriately.
- Comfortable working both independently and as part of a team.
- Positive attitude with a willingness to learn, take feedback, and contribute to a team-oriented environment.
